Job Description

Position Overview:
We are seeking a highly organized, detail-oriented, and proactive Executive Administrator to support Business Manager and team during our current admin's leave of absence. In this role, you will be responsible for managing the day-to-day operations of the business manager, ensuring smooth workflows, and helping drive operational efficiency.
Key Responsibilities:
Executive Support:
Provide comprehensive administrative support to senior leadership, including managing schedules, calendar coordination, and prioritizing appointments.
Communication Management:
Handle email and phone, responding to inquiries and routing messages appropriately.
Travel Coordination:
Arrange domestic and international travel itineraries, including flights, accommodations, and transportation, ensuring that all logistics run smoothly.
Meeting Coordination:
Organize and prepare materials for meetings, including agendas, presentations, ordering food and reports.
Document Management:
Maintain and organize confidential documents, files, and records, ensuring all information is up-to-date and accessible.
Office Management:
Oversee office supplies, equipment, ensuring smooth daily operations of the office.
Event Planning:
Organize events and meetings that take place in the meeting hall along with rental payments for those.
Required Qualifications:
Proven experience as an Executive Administrator, Executive Assistant, or similar role in a fast-paced environment. Exceptional organizational skills with the ability to manage multiple tasks and prioritize effectively. Excellent written and verbal communication skills. High attention to detail and ability to handle confidential information with discretion. Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to work independently and in a team environment. A proactive and resourceful approach to problem-solving. This is a Union position, you must be willing to join OPEIU Local 11
Preferred Qualifications:
Experience in Executive Admin or similar to position.
