Perform complex secretarial duties to manage the day-to-day operations of the office and the district.
Qualifications:
High school diploma or GED required Associate's degree preferred Minimum of five (5) years of secretarial experience, preferably in a school district or public sector setting Minimum of three (3) years of progressively responsible experience supporting executive-level or managerial/director-level leadership. Demonstrated ability to maintain strict confidentiality and exercise sound judgment in handling sensitive information Excellent written and verbal communication skills, including professional correspondence, proofreading, and public interaction Strong organizational, time management, and multitasking skills with the ability to manage competing priorities and deadlines Proficiency in Microsoft Office Suite, Google Workspace, and other office and data management software Current (dated within five years) Child Abuse, PA State Criminal History, and PDE FBI Clearances as required by the Child Protective Services Law and PA School Code Duties and Responsibilities (including but not limited to): Executive Support & Strategic Coordination Manage and prioritize the Superintendent's calendar, schedule, and daily workflow Serve as a key liaison for the Superintendent, coordinating meetings, communications, and follow-ups Support the Superintendent with presentations, speeches, and District/community engagement efforts Manage projects and initiatives as assigned by Superintendent Communications & Publications Write, edit, and proofread a wide range of materials from the Superintendent's Office, including correspondence, reports, agendas, and public communications Compile and analyze data from multiple sources to support reporting and decision-making. Create, prepare, and distribute various District publications Board & Governance Support Oversee the District's agenda management platform, including: Preparation and organization of Board and Work Session agendas User management and Board Library maintenance Serve as Board Recording Secretary Attend all Work Sessions and Board Meetings Record and prepare meeting minutes Support the School Board by: Communicating information related to meetings, events, and key topics Assisting with Board Retreats and New Director Orientation Monitoring required School Director training hours Ensuring compliance with annual state ethics filing requirements Coordinate and advertise all public meetings in accordance with legal requirements Compliance, Monitoring & Reporting Monitor compliance requirements for the Superintendent and District Administrators, including: Administrative Act 45 credit hours State ethics filings and reporting Track District Administrators' goals, evaluations, absences, and 12-month employee summer schedules Financial & Operational Oversight Maintain and monitor the Superintendent's Office budget, including travel and expense reporting Organize and implement meetings, events, and retreats within the scope of the Superintendent's Office and budget to include: The annual faculty and staff appreciation picnic and retiree celebration The annual District Welcome Leadership Team Retreats Luncheons, Dinners, etc., as required Maintain both electronic and physical filing systems for the Superintendent's Office General Support Attend meetings, interviews, and events as directed by the Superintendent Perform additional duties as assigned by the Superintendent or Board President Carry out all responsibilities within the scope of the position as directed Required Knowledge, Skills, and Abilities:
