We're actively seeking a talented Division Executive Administrative Assistant to join our Corporate Division to support a Management Committee member in Newport Beach, CA. This is a hybrid role. Days in the office will align with the leaders schedule. How you'll help move us forward: Anticipate executive needs, obstacles, and opportunities; act and plan accordingly Organize and manage executive calendar and meetings using Outlook Handle highly sensitive and confidential matters with discretion Serve as point of contact for internal and external stakeholders Prepare correspondence and documents with strong written communication Arrange domestic and international travel; manage expense reports (Concur) Receive and respond to calls/emails professionally Take executive meeting minutes and prepare summaries Provide forward-thinking event planning for functional events Partner with and provide backup support to other Executive Committee admins Complete special projects and miscellaneous tasks as assigned The experience required: 5+ years supporting C‑level executives in a corporate environment Strong MS Office 365 skills (Excel, PowerPoint, Teams, Outlook) and Adobe Acrobat Excellent editing, proofreading, organizational, and time‑management skills Ability to work independently, prioritize, maintain confidentiality, and exercise sound judgment Strong written and verbal communication skills What makes you stand out: Experience in a global organization and supporting leaders across time zones
Base Pay Range:
The base pay range noted represents the company's good faith minimum and maximum range for this role at the time of posting. The actual compensation offered to a candidate will be dependent upon several factors, including but not limited to experience, qualifications and geographic location. Also, most employees are eligible for additional incentive pay. $45.00
