Job Description
We are seeking a high-energy, detail-oriented, and proactive Executive / Personal Assistant to serve as the right-hand to our CEO. This is a hybrid role that blends high-level business administration with personal lifestyle management. You will be the "air traffic controller" for the CEO's life, ensuring that both the business operations of Larson's Garden Center and Landscaping and the CEO's personal obligations run seamlessly. The ideal candidate thrives in a fast-paced "green industry" environment, possesses an "no task too small" attitude, and can anticipate needs before they are even spoken.
Key Responsibilities Business Operations Support Description :
Proposal Execution & Scheduling Core Responsibilities:
Strategic Scheduling:
Create and manage crew schedules, material deliveries, and equipment logistics to ensure projects remain on time and within budget.Resource Coordination:
Direct labor allocation and vendor procurement to maintain a seamless workflow across multiple job sites.Operational Agility:
Proactively adjust timelines for weather or site-specific challenges while maintaining clear communication with clients and management.Quality & Compliance:
Monitor on-site progress to ensure work aligns with the original proposal and safety regulations.Required Skills:
Logistics & Planning:
Proficiency in scheduling software and "order of operations" for landscape construction.Technical Proficiency:
not required however helpful if you possess the ability to read blueprints, grading plans, and horticultural specifications.Problem Solving:
Strong aptitude for real-time troubleshooting and resource leveling.Communication:
Clear, professional coordination between design teams, field crews, and clients. Landscape Proposal execution and scheduling.Procurement & Vendor Management :
Coordinating with contractors and stone yards to ensure materials arrive in the correct sequence to avoid site congestion.Change Order Management:
Skill in identifying when a client request or a site "surprise" (like hitting a ledge) falls outside the original proposal.Calendar & Inbox Management:
Manage a complex, ever-changing calendar; prioritize emails, and act as the primary gatekeeper for internal and external communications.Project Coordination:
Track progress on landscaping projects, seasonal garden center events, and business development initiatives.Meeting Logistics:
Prepare agendas, take detailed minutes, and ensure follow-up actions are completed by the leadership team.Brand Ambassadorship:
Assist with social media updates (Reels/Stories), community engagement, and regional award applications.Personal & Lifestyle Management Executive Logistics:
Handle travel arrangements, dining reservations, and personal appointments.Errands & Operations:
Manage household vendors, vehicle maintenance, and miscellaneous personal errands to maximize the CEO's productivity.Special Events:
Assist in coordinating company-wide events, garden center soft openings, and private functions.Qualifications Experience :
3+ years in an EA or PA role, preferably supporting a business owner or C-suite executive.Skills :
Mastery of Google Workspace (Gmail, spreadsheets, Quick Books, travel booking, event planning, Calendar, Drive) and basic project management tools.Communication :
Exceptional verbal and written communication skills with a professional yet personable demeanor.Attributes :
High level of discretion, ability to remain calm under pressure, and a genuine interest in the landscaping/horticulture industry.Mobility :
