Job Description:
Kelly in partnership with Johnson and Johnson, is seeking an Executive Admin Assistant for a temporary hybrid role. The Executive Administrative Assistant III plays a vital role in supporting senior leadership and the R D team, reporting to the Vice President, R D Biosurgery, and working closely with the Senior Executive Assistant. This role is designed for a highly detail-oriented and proactive administrative professional who thrives in a dynamic, fast-paced environment. You'll handle confidential matters with discretion, manage daily administrative responsibilities, and provide essential backup and overflow support to keep our team operating efficiently.
Manage complex executive calendars, resolve scheduling issues, organize internal/external meetings and conference rooms, and support overflow work.
Administrative Support:
Support the Vice President, the R D leadership team, and the R D function with administrative tasks, including ordering supplies, booking meeting rooms, onboarding (using IRIS), and ordering food for meetings.
Travel & Expense Reports:
Coordinate complex travel arrangements for leadership and manage expense reporting in alignment with company policy.
Communication:
Draft, review, and publish communications/announcements; maintain org charts and distribution lists.
Onboarding & Events:
Coordinate interviews, facilitate onboarding for new associates, and assist with key event logistics as needed.
Project & Overflow Work:
Proactively take on administrative projects, provide backup for the Senior Executive Assistant, and support other VPs as requested.
Confidentiality:
Manage highly confidential matters with professionalism, exercising sound judgment and discretion.
Required Experience & Education Education:
High school diploma required
Experience:
Minimum of 5 years' experience supporting senior executives in a fast-paced, complex environment. Johnson & Johnson experience preferred due to the familiarity with company systems; exceptional, highly organized external candidates will be considered.
Software Proficiency:
High-level skills in Microsoft Outlook, Word, Excel, Teams, PowerPoint, Skype, Concur, IRIS, and Point.
Competencies:
Strong organizational and multitasking abilities, excellent problem-solving skills, independent work ethic, and outstanding verbal and written communication. Must be able to acclimate quickly and apply sound judgment under pressure Work Model & Schedule Onsite in Raritan, NJ Generally onsite Mon-Thu but only three days required.
Hours:
8:00 AM - 5:00 PM, 40-hours per week.
Compensation:
Starting at $58,000 Preferred Qualifications Experience supporting senior leadership at Johnson & Johnson strongly preferred. Background in R D or Marketing helpful, but not required. Seeks a long-term administrative career, not a short-term entry point.
