Healthcare Insurance Position Summary A leading healthcare insurance provider is seeking a highly organized and proactive Executive Administrator Contractor to support members of its executive leadership team. This role is ideal for an administrative professional with 1-3 years of recruiting coordination experience who thrives in a fast-paced, highly collaborative environment. The position will focus approximately 80% on executive and administrative suppor t and 20% on recruiting coordination activitie s. The successful candidate will possess exceptional organizational skills, strong attention to detail, professionalism in handling confidential information, and the ability to manage multiple priorities simultaneously . Key Responsibilities Executive & Administrative Support (80%) Provide day-to-day administrative support to senior executives and leadership team members. Manage complex calendars, including scheduling meetings across multiple stakeholders and time zones. Coordinate executive travel arrangements, itineraries, and expense reporting. Prepare meeting agendas, presentation materials, reports, and executive communications. Organize and coordinate leadership meetings, off-site events, and team activities. Track action items and follow up with stakeholders to ensure timely completion. Manage confidential information with discretion and professionalism. Support special projects and operational initiatives as assigned. Serve as a liaison between executives and internal/external business partners. Recruiting Coordination (20%) Coordinate candidate interviews across hiring managers, recruiters, and candidates. Manage interview scheduling and logistics for both virtual and in-person interviews. Maintain applicant tracking system records and ensure candidate information is accurate and up to date. Communicate professionally with candidates throughout the interview process. Support recruiting events and hiring initiatives as needed. Partner with recruiters and hiring managers to deliver a positive candidate experience. Qualifications Required Qualifications 2-3 years of experience as an Executive Assistant, Administrative Assistant, Recruiting Coordinator, or similar support role Prior experience coordinating interviews and supporting recruiting processes. Strong proficiency with Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel. Exceptional calendar management and scheduling skills. Strong written and verbal communication abilities. Excellent organizational skills with the ability to prioritize competing demands Demonstrated attention to detail and follow-through. Ability to handle sensitive and confidential information with discretion. .Preferred Qualifications Experience supporting executives in a healthcare, insurance, financial services, or highly regulated environment. Familiarity with applicant tracking systems (Workday, Greenhouse, iCIMS, or similar). Experience creating executive presentations and leadership meeting materials.
