Executive Assistant Fort Lauderdale / Miami, Florida | Full-Time | Hybrid Kitson Yachts, a leading luxury yacht brokerage and advisory firm specializing in yacht sales, new construction, and charter, is seeking a highly organized, proactive, and polished Executive Assistant to support the day-to-day operations of our growing team. This role is ideal for an experienced administrative professional who thrives in a fast-paced, client-facing environment and enjoys working alongside brokers, clients, and industry professionals. The successful candidate will play a critical role in supporting sales, charter, marketing, and operational activities while helping ensure the smooth execution of key business initiatives. Key Responsibilities Provide administrative support to senior management and brokerage team members Assist in the preparation of client presentations, sales proposals, charter brochures, and marketing materials Maintain and update CRM systems (HubSpot) with accuracy and attention to detail Coordinate and manage inbound sales and charter inquiries Answer and manage the company sales phone line, directing calls appropriately Support brokers with ongoing sales transactions, charter bookings, and client communications Assist with listing management across brokerage and marketing platforms Coordinate office operations and support day-to-day business activities Conduct market research and compile information on yachts, clients, and industry trends Assist with planning and execution of boat shows, open houses, broker events, and client activations Coordinate meetings, schedules, and follow-up communications as required Support social media, email marketing, and promotional initiatives when needed Must be willing to work occasional weekends and evenings to support key events, boat shows, and client functions Maintain a professional presence when interacting with clients, industry partners, and vendors Experience & Skills Minimum of 2-3 years of administrative experience, preferably supporting executives, high-profile individuals, or luxury clientele Experience within the marine, yachting, luxury hospitality, real estate, or luxury lifestyle sectors preferred Exceptional organizational and multitasking abilities Strong verbal and written communication skills Professional, polished, and client-focused demeanor High attention to detail and ability to manage multiple priorities simultaneously Proficiency in Microsoft Office Suite Experience with HubSpot or similar CRM platforms preferred Ability to work independently while contributing effectively within a team environment Personal Attributes Proactive and resourceful with a solutions-oriented mindset Highly organized and dependable Professional and confident communicator Strong interpersonal skills with the ability to interact with UHNW clients and industry stakeholders Positive attitude and willingness to take ownership of responsibilities Passion for luxury, hospitality, travel, or yachting is highly desirable Location & Work Arrangement Hybrid position with a combination of remote and in-office work Candidates must be based in South Florida , with the ability to attend meetings and events in Fort Lauderdale and Miami Flexibility to travel locally for yacht showings, boat shows, client meetings, and company events as needed Why Join Kitson Yachts?
