Job Description A Global Media Company in Midtown Manhattan is seeking a new Full-Time/Permanent Executive Assistant to support one C-level Executive and the Head of Investor Relations. Candidates must have a minimum of 5-10+ years of applicable high-level executive administrative experience working at a recognizable company and a Bachelor's degree is required/strongly preferred. They also must have solid tenure (no jumpy resumes)! Ideal candidates should be incredibly polished and professional, eager, proactive, detail-oriented, organized, and possess a high degree of emotional intelligence. This is an exciting opportunity for a motivated and highly organized individual looking to break into creative and/or work in a collaborative, fast-paced environment at an extremely reputable firm! Salary depends on experience (90-120k base), plus paid overtime (approx. 8-10 hours per month; no bonus). Comprehensive benefits! Hours are 9:00am-5:00pm or 8:30am-5:30pm, with a lunch break. Hybrid work schedule (4 days in office / 1 day remote, with flexibility to work in the office on Friday once a month - the EAs have a rotational schedule on Fridays).
Responsibilities:
Provide high-level executive administrative support to one C-level Executive and the Head of Investor Relations to ensure optimal workflow, efficiency, and time management. Strategically coordinate and prioritize complex schedules with various internal and external partners, always anticipating next steps. Apply the utmost discretion to sensitive and confidential company and personal information that others may not be privy to. Manage calendars and daily workflows, juggling competing priorities as necessary and making appropriate and informed decisions regarding available time. Research, prioritize, and follow up on incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature. Determine appropriate course of action, referral, or response. Organize, synthesize, and prioritize large volumes of information. Communicate with other executives and the general staff and coordinate logistics for high-level meetings, both internally and externally. Coordinate complex international and domestic travel arrangements, both business and personal, including developing detailed itineraries and agendas, booking transportation, and arranging lodging. Answer telephone calls, respond to email requests, and draft written correspondence. Work independently and within a team on ad hoc projects. Respond to queries from management and other team members quickly, clearly, and courteously. Reflect the company culture when conducting activities. Manage requests for executive's time and attention to internal and external matters while ensuring key issues and concerns are effectively addressed. Create and maintain filing systems (i.e., contacts, monthly calendar), both electronic and paper. Assist with various ad hoc duties related to household and family management.
Required Qualifications:
Minimum of 5-10+ years' experience in an administrative role supporting senior-level management. Bachelor's degree is required. Experience working under pressure and managing multiple, competing tasks and priorities. Superior organizational skills; detail oriented. Excellent oral, written communication, and presentation skills. Ability to draft, proofread, and edit documents for spelling, grammar, and punctuation. Demonstrate the highest level of maturity, professionalism, and judgment. Must have knowledge of a variety of computer software applications, including Google and MS Office, Word, Excel, and PowerPoint. Experience using Concur for expense reporting is a plus. Ability to manage calendars and make travel arrangements using a company travel agency. High degree of personal and professional integrity and the ability to work with sensitive or confidential information. Agile mindset - with the ability to successfully manage competing priorities. Demonstrated capacity for self-reflection and ability to take initiative. Actively participate and collaborate with others on team and across the company for the achievement of business goals. Clearly convey and accurately receive information by a variety of methods and in various situations. Build rapport with all kinds of people inside and outside the organization. Ability to prioritize, quickly pivot, and exercise excellent time-management skills. Must be willing and eager to learn team objectives and functions to help streamline processes. Must have the ability to think ahead and to work well under pressure. Must be a team player with a high level of initiative and willingness to take ownership of tasks and issues and follow up to ensure that they are successfully brought to completion.
