Job Title:
Executive Assistant Job Description The Executive Assistant actively supports senior leaders by serving as the primary point of contact for organizing activities, managing complex calendars, coordinating extensive travel, and overseeing a wide range of administrative tasks. This role requires exceptional organizational skills, strong attention to detail, and the ability to prioritize and manage multiple deadlines in a fast-paced environment while interacting professionally with executives, clients, vendors, and internal teams. Responsibilities Actively assist senior leaders and serve as the primary point person for organizing activities, managing priorities, and maintaining timelines. Manage complex calendars for senior leaders, including scheduling, rescheduling, and prioritizing meetings and appointments. Arrange and actively manage complex travel schedules for the Sales leadership team, who travel between 50% and 90%, including multi-city and multi-day itineraries. Schedule and coordinate executive-level meetings with VIPs from inside and outside the company, often spanning multiple days and locations. Assist the Sales team with entering expense reimbursements and guiding them through the approval process. Perform full administrative support functions, including preparing routine correspondence, taking and distributing meeting minutes, preparing reports, reviewing invoices, and updating phone and email lists. Send, receive, and process mail, and coordinate the scheduling of meetings, appointments, and travel arrangements. Perform various clerical duties such as photocopying, filing, ordering supplies and forms, maintaining records, and faxing documents. Utilize Microsoft Office and other software applications to develop reports, organize and maintain data, create presentations, and support miscellaneous projects. Act as a department point of contact with significant interaction with customers, business clients, vendors, and senior professionals throughout the organization. Essential Skills Proven experience supporting senior leaders with complex calendar management, travel coordination, and prioritization in a fast-paced environment. Strong organizational and time-management skills with the ability to manage multiple priorities, deadlines, and detailed logistics, including frequent multi-city travel. Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint, with experience preparing reports, presentations, and correspondence. Excellent communication and interpersonal skills, with the ability to work effectively with executives, clients, and cross-functional teams. High attention to detail, discretion, and a proactive, problem-solving approach to administrative and operational support. Demonstrated experience in executive support, including calendar management, travel management, and administrative support. Additional Skills & Qualifications Experience serving as an executive assistant or in a similar high-level administrative support role. Ability to build strong working relationships with internal and external stakeholders, including VIPs and senior professionals. Comfort working with various software tools to organize data, manage information, and support special projects. Capability to work independently while also collaborating closely with leadership and cross-functional teams. Work Environment This is a hybrid role with an expectation to work four days per week in the office in West Des Moines, Iowa. The position supports a highly mobile Sales leadership team that travels frequently, requiring flexibility and responsiveness during standard business hours and around complex travel schedules. The work environment is professional and fast-paced, with frequent interaction with executives, clients, vendors, and cross-functional colleagues. You will work primarily with office productivity tools, including Microsoft Office, and standard office equipment while performing a blend of on-site administrative tasks and virtual coordination. Job Type & Location This is a Contract position based out of West Des Moines, IA. Pay and Benefits The pay range for this position is $25.00 - $28.00/hr.
