This person serves as the VP's right hand, anticipating needs, removing friction, and ensuring the organization moves with clarity and speed. The ideal candidate thinks like an operator, communicates like a leader, and executes like a team of one. You will be embedded at the highest level of decision-making, trusted with sensitive information, and empowered to act with autonomy and judgment. What You'll Do Executive Support Manage and optimize the CEO's calendar, prioritizing high-impact meetings and protecting deep work time Serve as a liaison between the VP and internal teams, ensuring follow-through on priorities and commitments Draft, edit, and manage executive communications, such as emails, memos, presentations, and board materials Prepare briefing materials, pre-read documents, and post-meeting follow-up summaries Anticipate needs before they arise, proactively solving problems the VP hasn't yet identified Coordinate domestic travel, including itineraries, accommodations, and ground transportation Plan and execute executive offsites, team events, and leadership gatherings, managing venue sourcing, logistics, travel coordination, agendas, and on-site execution from start to finish Internal Operations Manage expense reporting and reconciliation for select executives Identify opportunities to improve operational efficiency and lead implementation efforts Handle sensitive and confidential matters with the highest level of discretion What We're Looking For Required Qualifications 5+ years of experience in executive support, executive assistant, operations, strategy, or consulting Bachelor's degree or equivalent experience preferred Proven track record of supporting a C-suite or senior executive in a fast-paced environment Exceptional written and verbal communication skills, you write clearly, concisely, and in the voice of whoever you're supporting Extraordinary organizational skills with the ability to manage competing priorities without dropping anything High emotional intelligence, able to read the room, navigate complex relationships, and exercise sound judgment Proficiency with productivity and collaboration tools (Google Workspace, Slack, Notion, project management platforms) Experience leveraging AI tools to automate or streamline repetitive workflows Ability to work with ambiguity, adapt quickly, and remain calm under pressure Demonstrated ability to handle sensitive, confidential, and proprietary information, including board materials, personnel matters, and strategic initiatives, with absolute discretion Preferred Qualifications Experience in a high-growth startup, tech company, or professional services environment Background in business strategy, operations, consulting, or an MBA Who You Are Proactive, not reactive: you see what needs to happen before being asked Discreet and trustworthy: you handle sensitive information with care and professionalism A force multiplier: you make the people around you more effective Humble and hungry: no task is beneath you, and no challenge is too large A systems thinker: you don't just solve problems; you build processes that prevent them Tech-forward and tool-savvy: you embrace AI and automation as force multipliers, staying ahead of the tools that make you and your executive more effective Deeply curious: you ask good questions and seek to understand before acting Salary Range Salary range: $80-110K Base Salary + Bonus Grace Hill offers a robust suite of benefits, including health, dental and vision insurance, 401K, PTO, life insurance, disability insurance, and more.
