Full Job Description Position Description:
The Dragonfly Home provides life-changing, life-saving services for victim/survivors of human trafficking in Oklahoma City through its Crisis Center and 24-Hour Human Trafficking Hotline. We are looking for a new team member to fill a Full-time Executive Assistant position (40 hours per week). The ideal candidate is experienced in handling a wide range of administrative and director support related tasks and is able to work independently with minimal supervision. This person should be exceedingly well-organized, proactive, flexible, reliable, and able to uphold the mission and values of The Dragonfly Home in every aspect of their work. The ability to maintain a high level of professionalism and confidentiality while interacting with internal and external stakeholders is critical. The Executive Assistant (EA) will assist the Executive Director (ED) and is responsible for all clerical duties of the day-to-day operations: 1. Operate as the gatekeeper of incoming and outgoing communications in a polite and professional manner:
  • Welcome office guests, provide hospitality
  • Answer all incoming calls on Dragonfly's Information Line
  • Respond to or route email appropriately and in a timely manner
  • Open, sort and distribute mail for administrative department
  • Administer applicable donor stewardship and fundraising efforts 2. Carry out applicable administrative tasks to ensure program and grant compliance:
  • Maintain employee, board, and volunteer files (both physical and digital)
  • Track and document in kind good and service donations 3. Assist in preparing for Board Meetings, presentations, tours, and applicable training/educational events 4. Maintain a clean, efficient and organized environment:
  • Track inventory of essential supplies
  • Purchase supplies as needed
  • Carry out weekly housekeeping duties
Position Qualifications:
  • High school diploma or GED certificate required
  • 1+ years of experience as an administrative assistant required, executive level preferred
  • Attention to detail is an absolute must
  • Reliable
  • Proficient with Microsoft Word, Excel, Outlook, and common office equipment
  • Excellent customer service
  • Superb professional written and verbal communication skills
  • Self-starter who works well independently
  • Professional demeanor
  • Ability to think critically and find solutions
  • Complete dedication to confidentiality
  • Ability to set priorities
