Full Job Description Location:
Carmel, IN; Hybrid (2 days/ week in office) Raising the Standard At Trinitas Ventures, execution is a competitive advantage. We operate with pace, discipline, and a high standard of preparation and follow-through. The Executive Assistant exists to elevate CEO effectiveness and strengthen enterprise execution. This is not a traditional administrative role. It is a high-performance position designed to protect CEO time, structure executive workflows, and ensure strategic priorities move forward with clarity and discipline. The Executive Assistant plays a central role in bringing order, clarity, and stability to the CEO's workflow and the broader executive rhythm. In this role, you will: Proactively architect and protect CEO time around strategic priorities Elevate executive meeting discipline with clear agendas, decisions, and ownership Drive closed-loop follow-up across senior leadership Support investor and board preparation with professional polish Translate complexity into structured summaries and actionable plans Maintain an organized, professional office environment that supports focused execution When successful, the CEO experiences reduced cognitive load, tighter meetings, seamless investor coordination, and stronger execution discipline across the organization. Core Responsibilities Architect and manage the CEO's calendar to align with strategic priorities, preparation windows, and travel. Prepare and support executive and investor meetings, including agenda development, material consolidation, decision capture, and follow-up tracking. Maintain priority trackers and drive disciplined execution across leadership commitments. Draft executive-ready communications, summaries, briefing documents, and presentation materials. Provide high-level support to senior executives as needed to reinforce alignment and execution discipline. Support Trinitas corporate marketing and reputation management in coordination with the CEO and head of marketing. Support Trinitas Intelligence coordination efforts. Oversee general office operations, including supply management, vendor coordination, and workspace organization. Maintain organized and secure records with discretion. Perform other related duties as assigned. What Success Looks Like After 6-12 month, you will: Establish a structured calendar and priority system that consistently protects CEO focus. Run executive meetings that produce clear decisions and accountable next steps. Create reliable follow-up rhythms that prevent priority drift. Deliver seamless investor and external coordination. Produce crisp, executive-ready materials that enhance clarity and decision-making. Ensure the office environment operates smoothly and professionally. Reduce friction across leadership workflows, increasing focus and throughput. Success here is measured not only by output but by the trust you build. What Will Help You Thrive Successful candidates typically bring: 5+ years supporting a CEO, Founder, or senior executive in a fast-paced environment Experience preparing board, investor, or executive-level materials Demonstrated ability to manage complex calendars and competing priorities Strong writing and synthesis skills with executive-level polish Experience coordinating high-visibility meetings, travel, and events Bachelor's degree preferred (or equivalent experience) Just as important, you: Communicate with clarity and structure, turning complexity into actionable decisions. Operate confidently in ambiguity and shifting priorities. Process information quickly while managing multiple workstreams. Exercise sound judgment in discretion, escalation, and follow-through. Maintain composure under pressure and professionalism across strong personalities. Represent leadership with executive presence internally and externally. Work Environment & Physical Requirements This position is performed primarily in an office environment. The role may require extended periods of sitting or standing, routine use of standard office equipment and technology, and the ability to view a computer screen for extended periods. Depending on the specific responsibilities, the position may also involve lifting up to 25 pounds, as well as meeting any additional role-specific physical requirements.
