Job Description
Job Summary We are seeking a dynamic and highly organized Executive Assistant to provide comprehensive support to senior leadership and ensure the smooth operation of daily office functions. This role is vital in managing schedules, coordinating projects, and handling administrative tasks with precision and professionalism. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to facilitate seamless interactions across teams and clients. Duties Manage complex calendars, schedule appointments, meetings, and events using Microsoft Outlook Calendar and Google Workspace tools. Coordinate and organize company events, meetings, and conferences from planning stages through execution. Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy and attention to detail. Handle incoming calls with professional phone etiquette, directing inquiries appropriately via multi-line phone systems. Maintain meticulous filing systems—both physical and digital—and ensure easy retrieval of important documents. Support bookkeeping activities using QuickBooks for invoicing, expense tracking, and financial record-keeping. Assist with project coordination by tracking deadlines, preparing agendas, taking minutes, and following up on action items. Provide personal assistant support including travel arrangements, gift purchasing, and managing confidential information discreetly. Perform data entry tasks with high accuracy to update databases and CRM systems efficiently. Manage office supplies inventory, coordinate vendor relationships, and oversee general office management duties to maintain a productive work environment. Skills Proven experience as an executive assistant or in a similar administrative role with strong office management skills. Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and data entry tools. Excellent typing speed combined with transcription abilities for accurate documentation. Strong project coordination skills to manage multiple initiatives simultaneously. Knowledge of bookkeeping software such as QuickBooks for financial recordkeeping and invoicing. Outstanding communication skills—both verbal and written—with professional phone etiquette. Attention to detail for proofreading documents and ensuring accuracy in all work outputs. Familiarity with office equipment including multi-line phone systems, fax machines, scanners, and printers.
