Executive Assistant to CEO / Operations CoordinatorCollaborative Anesthesia Partners Remote | Travel Required | Full-Time Collaborative Anesthesia Partners is a rapidly growing healthcare company specializing in anesthesia management, interventional pain management, revenue cycle management, and healthcare franchising. We are looking for a highly organized, proactive, and adaptable Executive Assistant to work directly with the CEO in a fast-paced, high-growth environment. This is not a traditional desk-only administrative role. The ideal candidate will become a true right-hand partner to the CEO — helping manage schedules, travel, operations, communication, projects, events, and day-to-day execution across multiple businesses and initiatives. This role requires someone who is comfortable wearing many hats, solving problems independently, and operating with professionalism under pressure. Some weeks may involve coordinating executive meetings and handling confidential business communications remotely. Other weeks may involve travel, event coordination, franchise support, venue operations, recruiting assistance, or helping execute strategic projects in real time. Responsibilities Manage complex executive calendars, scheduling, and travel arrangements Coordinate meetings, calls, conferences, and business events Assist with project management and operational follow-through Draft, proofread, and organize professional correspondence, reports, and presentations Help manage communication between leadership teams, vendors, franchisees, and partners Handle confidential information with professionalism and discretion Assist with recruiting coordination, onboarding logistics, and administrative operations Support venue operations, conferences, networking events, and occasional onsite business activities Organize digital files, workflows, and operational systems Anticipate needs, identify problems, and proactively create solutions before issues arise Provide occasional personal/executive support tasks as needed Travel with the CEO when required for meetings, conferences, events, or operational support Qualifications Proven experience as an Executive Assistant, Operations Coordinator, Office Manager, or similar high-level support role Exceptional organizational and time management skills Ability to multitask and prioritize effectively in fast-moving environments Strong written and verbal communication skills Professional demeanor with excellent judgment and discretion High attention to detail and strong follow-through Tech-savvy and comfortable learning new systems quickly Proficiency with Google Workspace and Microsoft Office Suite Experience coordinating travel, meetings, and logistics Ability to work independently without constant supervision Willingness to travel as needed Healthcare, startup, franchise, operations, or event coordination experience is a plus QuickBooks or bookkeeping experience is a plus What We're Looking For We are looking for someone who: Takes ownership instead of waiting for instructions Stays calm under pressure Solves problems instead of escalating every issue Communicates clearly and professionally Can adapt quickly as priorities shift Wants to grow alongside a rapidly expanding company Compensation & Benefits Competitive salary based on experience Remote flexibility Opportunity for travel and direct executive exposure Growth potential into operations or leadership roles Work directly with executive leadership in a rapidly growing company If you are looking for a high-impact role where your work truly matters and no two days are the same, we encourage you to apply.
