Responsibilities:
We are looking for an experienced Executive Assistant who is interested in being a part of one of the fastest growing wealth management firms in the nation. In this role, you will act as a trusted gatekeeper and right hand to the two Managing Partners - managing schedules, handling important communication within the organization, coordinating with prospective selling advisors, and overseeing tasks that keep the firm running efficiently. Key Tasks & Activities:
Manage complex calendars for Partners (95% business / 5% personal), including client meetings, potential seller meetings, internal meetings, and external events Serve as first point of contact for communications and inquiries on behalf of Partners Prioritize and resolve scheduling conflicts with sound judgment Prepare and organize client meeting materials, presentations, and follow-ups Draft, edit, and proofread correspondence, reports, and presentations Ability to provide occasional support outside normal business hours Support compliance documentation and recordkeeping Assist with client appreciation events, board meetings, and internal strategy sessions Plan, coordinate, and lead special projects Collaborate with Operations Director to ensure synchronization across the organization
Qualifications:
3+ years of executive assistant or senior administrative support experience Bachelor's degree or equivalent experience Strong command of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), CRM systems (Salesforce), and project management tools (Asana) Exceptional organizational, time management, and communication skills with strong attention to detail Proven ability to manage multiple priorities and projects in a fast-paced, deadline-driven environment Perceptive and able to anticipate needs of the Partners and the organization Ability to work independently while coordinating effectively across teams, vendors, and leadership Maintain confidentiality with sensitive client and business information
