Our client, a financial firm in the real estate sector, is searching for an Executive Assistant for their Wakefield office. This role will provide high-level, personalized support to the Managing Director. The ideal candidate is an experienced, client-focused, entrepreneurial-minded, executive assistant that thrives in a fast-paced environment. This person will play a key role in the growth and success of the business and will have high level visibility across the firm. Note that this is a hybrid position with 3 days in-office a week and access to a car is required. Traditional office hours, with flexibility to be available as needed when urgent issues arise outside of business hours.
Responsibilities:
Provide comprehensive support to a top producing Managing Director, to streamline his workflow so he can focus on clients, investors, and core business priorities. Coordinate executive's daily calendar, including booking meetings, arranging travel, and making adjustments quickly, when needed. Manage the executive's inbox, flagging priorities and proactively setting meetings when appropriate. Plan and execute internal and external meetings, including team building activities, happy hours, client dinners, and networking events. Communicate with stakeholders on behalf of the executive, acting as an extension of his business. Assist with general office support as needed, including ordering supplies, setting up for on-site meetings, and taking on ad-hoc requests.
Requirements:
3+ years of administrative support in a client service-oriented environment. High proficiency in Microsoft Office Suite Access to a car and ability to drive is required. Strong knowledge of the city's dining and event scene to support seamless meeting and event planning a huge plus! Proven ability to proactively manage dynamic needs and priorities A team-oriented mindset couple with strong relationship building skills
