About the Position The Executive Assistant ("EA") keeps things running smoothly for the Owner of the practice. The EA helps fulfill the practice vision by creating and managing system updates for the staff and striving to create efficiencies for the owner in all areas of the practice. In addition, the EA will support the practice with daily administrative tasks, weekly and monthly audits, process analysis and improvement, marketing creation, and creating greater efficiencies in our daily operations. Assist the Owner with managing systems, spreadsheets, data collection, creating and maintaining meeting notes Manage the Owner's email communication and schedule Review and keep the Google Drive and filling systems current and up to date each week Create onboarding training materials, and videos. Conduct weekly audits of payroll trackers and therapist stats tracker to ensure notes are locked, paperwork is signed, pay is correct, etc. Manage money metrics, reconcile monthly accounts, and liaise with QuickBooks customer service to address errors and issues Manage technical issues that occur with practice systems and be able to solve issues with software/tech Run payroll each week Assist therapists with tracking their notes, CEUs, license status, and renewals Review inventory and order/ purchase new supplies for the office. Work with the Owner/Clinical director to create and schedule presentations for the community and correspond with the marketing team as needed. Assist with basic website maintenance. Assist Owner with maintenance of Sensitive HR and Employee files. Be the go-to expert on using practice software (Simple Practice); add, delete, edit and improve forms; streamline processes to improve efficiency and effectiveness; train team members Evaluate office operations, make recommendations for improvements, implement approved changes, and train team members on new procedures Develop systems and processes to track, analyze, and make recommendations on: incoming and outgoing referrals, client satisfaction, and other areas of the practice. Engage in thorough cleaning of the office on a weekly basis unless otherwise indicated.   • Majority of the work will be completed remotely and require ability to work in the office or marketing events to assist the Owner or Clinical Director as needed.
A strong internet connection is required for remote work. Position Type/Expected Hours of Work This is a Full time position, which consists of approximately 30-40 hours per week.
