Overview A high-performing commercial real estate firm is seeking a self motivated, detail oriented Executive Assistant to provide full-spectrum support across business operations, deal execution and administrative coordination. The right candidate will be a team player who is highly motivated and interested in providing real assistance to the team of brokers. There is room for potential bonuses for the right candidate. Duties . Monitor and triage emails, ensuring prompt responses. Create and manage email blasts using Constant Contact/ ACT Coordinate real estate projects by preparing documentation, tracking deadlines, and liaising with clients, vendors, and internal teams to ensure smooth operations. Provide comprehensive executive administrative support including drafting correspondence, proofreading documents, transcribing notes, and preparing reports. Oversee office management responsibilities including filing systems, data entry, bookkeeping with QuickBooks, and maintaining office supplies inventory. Handle incoming calls with professional phone etiquette on multi-line phone systems; direct inquiries appropriately while maintaining excellent customer service standards. Support personal assistant duties such as managing confidential information, running errands related to real estate transactions, and assisting with personal scheduling when needed. Utilize office software tools like Microsoft Office Suite (Word, Excel), Google Workspace applications, and DocuSign for document signing and management. Perform clerical tasks such as filing documents accurately, data entry into CRM systems or databases, and proofreading correspondence to ensure clarity and professionalism. Deal and transaction Mgmt. Draft and process brokerage agreements, commission invoices, and NDA documents, LOIs , proposals, etc. Maintain CRM records, Loopnet, Costar Pull and organize comparable sales data using the above and incorporating AI technology Social Media / Mktg The candidate will be responsible for updating Linked in , Social media pages, Website and create Marketing Brochures by using Adobe in

Experience Proven experience as an executive assistant or administrative professional within the commercial real estate sector or related fields. Demonstrated expertise in office management tasks including bookkeeping (QuickBooks preferred), filing systems, and front desk responsibilities. Strong project coordination skills with the ability to multitask effectively across multiple deadlines and priorities. Excellent typing speed with high accuracy; proficient in transcription and proofreading tasks. Familiarity with real estate documentation processes such as lease agreements or property transactions is a plus. Exceptional organizational skills with a keen eye for detail; capable of managing complex schedules using Microsoft Outlook Calendar or Google Calendar seamlessly. Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace tools, multi-line phone systems, and electronic signature platforms like DocuSign.
