We are currently hiring for an Executive Assistant to support a high-performing legal team at a top-tier law firm in San Francisco. This is a hybrid role offering strong exposure to complex legal operations and the opportunity to work closely with attorneys and cross-functional teams in a fast-paced, professional environment. About the Role The Executive Assistant will play a key role in ensuring smooth day-to-day operations for a legal team, providing high-level administrative and organizational support. This includes managing attorney schedules, coordinating meetings and travel, preparing documents and presentations, and ensuring deadlines and priorities are met with accuracy and efficiency. The role also involves supporting matter lifecycle management, including client onboarding, conflicts coordination, engagement letters, billing processes, and matter closeouts. You will act as a central point of coordination between attorneys, clients, and internal departments to ensure seamless workflow and service delivery. Key Responsibilities Provide comprehensive administrative support to assigned attorneys and legal teams Manage complex calendars, schedules, meetings, travel, and expense coordination Draft, edit, and format correspondence, presentations, and internal documents Maintain organized electronic filing and records management systems Support client matter intake, conflicts checks, engagement letters, and billing coordination Track deadlines, follow-ups, and ensure timely completion of legal and administrative tasks Assist with business development activities including research, reports, and contact management Serve as a professional point of contact for internal teams, clients, and external stakeholders Ensure confidentiality and discretion when handling sensitive information Collaborate with other administrative staff to support workload distribution and team efficiency Required Skills & Qualifications Strong written and verbal communication skills with excellent attention to detail High level of professionalism and interpersonal skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) Ability to multitask, prioritize, and work in a fast-paced environment Strong organizational and time management abilities 2+ years of administrative or executive support experience (legal or professional services preferred) Bachelor's degree preferred This is an excellent opportunity to join a prestigious law firm and contribute to a high-caliber legal team in a dynamic and growth-oriented environment.
