Position Summary San Diego Hunger Coalition is seeking a highly organized and professional Executive Assistant (Part-Time) to provide administrative and operational support to the executive team. This role requires a proactive individual with strong organizational and communication skills who can manage priorities effectively within limited scheduled hours. Due to the part-time nature of this position, responsibilities will be prioritized based on organizational needs and available scheduled hours. This position plays a key role in supporting executive scheduling, facilitating communication, and ensuring efficient administrative operations. Essential Duties and Responsibilities Primary Responsibilities (Core Duties) Manage incoming mail, including checking, sorting, scanning, and depositing checks using mobile deposit. Provide administrative support to the executive team, including calendar management, meeting scheduling, and coordination of logistics. Serve as a point of contact between executives and internal and external stakeholders. Schedule and organize executive meetings, including preparing agendas, taking meeting minutes, and distributing follow-up materials. Coordinate virtual meetings using Microsoft Teams and Zoom. Prepare, edit, and organize correspondence, reports, and basic presentations. Secondary Responsibilities (Periodic / Scheduled Support) Provide limited administrative support for events, conferences, and meetings, including preparation of materials and logistical coordination. Assist with administrative coordination for board meetings and leadership meetings. Support onboarding logistics for new hires, including equipment setup and document organization. Maintain and organize electronic files using OneDrive, SharePoint, and the Microsoft Office Suite. Occasional / As
-Needed Responsibilities Pick up mail from the Downtown San Diego office location up to two times per week. Retrieve marketing or printed materials from vendors within San Diego County approximately one to two times per month. Attend in-person meetings or events within San Diego County approximately one to two times per month, as required. Assist with special administrative projects as assigned, based on organizational priorities and available work hours. Confidentiality and Professional Standards Handle sensitive and confidential information with the highest level of integrity, professionalism, and discretion. Comply with organizational policies and administrative procedures. Work Environment and Schedule This position is primarily remote; however, candidates must be located in San Diego County and available to perform required in-person duties. Work schedules will fall within one of the following structures, depending on organizational needs: 3 days per week, 4 hours per day 2 days per week, 5 hours per day 2 days per week (4 hours each) and 1 day per week (2 hours) Candidates must be available to attend scheduled online team huddles. Additional Requirements Related to Duties Reliable transportation is required for local travel and errands within San Diego County. Mileage reimbursement will be provided in accordance with IRS rates. Expense reports must be completed for reimbursable business expenses. The following stipends are provided by the company: Internet stipend, remote work stipend, and mileage stipend (mileage paid at IRS rates). Each stipend is $10 per month.
