Responsibilities Provide comprehensive executive administrative support to therapists and management, including calendar management using Microsoft Outlook Calendar and Google Workspace. Coordinate appointments, scheduling sessions, and managing client intake processes with efficiency and professionalism. Handle phone etiquette expertly across multi-line phone systems, answer inquiries, and direct calls appropriately to ensure excellent customer service. Manage office operations including filing, data entry, document proofreading, transcription, and maintaining organized records. Assist with event planning for workshops or community outreach events related to mental health awareness or practice initiatives. Oversee bookkeeping tasks using QuickBooks, including invoicing, billing, and basic bookkeeping responsibilities. Support project coordination efforts by tracking deadlines, preparing materials, and ensuring timely completion of tasks. Manage office supplies inventory and coordinate with vendors as needed to maintain a well-equipped workspace. Qualifications Proven experience in office management, administrative support, or personal assistant roles within a healthcare or professional setting. Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with DocuSign for electronic signatures. Excellent typing speed and data entry skills combined with keen attention to detail for proofreading and transcription tasks. Experience with bookkeeping software such as QuickBooks is highly desirable. Exceptional communication skills with professional phone etiquette and customer service orientation. Demonstrated ability to handle clerical responsibilities such as filing, front desk duties, and multi-line phone systems confidently. Knowledge of office equipment including fax machines, scanners, and multi-function printers; familiarity with Microsoft Outlook Calendar is preferred.
