The Executive Assistant serves as a strategic partner to the Executive Director, helping maximize his effectiveness by managing priorities, communication, and logistics with a high level of ownership and discretion. This role reports to the Director of Finance and Operations and works closely with both leaders to ensure strong alignment and execution across priorities. It requires the ability to make informed decisions, prioritize competing demands, and act on behalf of the Executive Director when appropriate. Own and manage the Executive Director's calendar with a focus on priorities, alignment, and effectiveness
Anticipate needs and proactively adjust schedules, meetings, and commitments
Coordinate travel, meetings, and key engagements with precision
Serve as a trusted gatekeeper, managing access, communication, and timeCommunication & Representation
Draft, edit, and manage communication on behalf of the Executive Director with clarity and professionalism
Serve as a point of coordination for internal and external communication
Ensure timely follow-up and clear communication across leadership, hubs, partners and donorsOperational Execution
Partner with the Director of Finance and Operations to ensure alignment of priorities and execution
Track key initiatives, action items, and deadlines, ensuring consistent follow-through
Coordinate and execute logistics for board meetings, leadership gatherings, and key organizational events with a high level of detail and follow-throughStrategic Support
Anticipate needs and proactively solve problems
Help create space for the Executive Director to focus on highest-impact workCulture & Expectations

Demonstrates a clear and growing relationship with Jesus
Alignment with the mission and values of TIMES12
3+ years supporting a senior leader (Executive Director, CEO, Lead Pastor, etc.)
Exceptional organizational and time management skills
Strong written and verbal communication skills
High level of discretion, judgment, and professionalism
Proven ability to manage multiple priorities and follow through with excellence
Personable, relational, and able to build trust with a wide range of people
Able to manage multiple tasks and shifting priorities
Servant-hearted with a positive, team-oriented attitude
Proactive, detail-oriented, and solutions-focused/// PREFERRED
Demonstrated ability to manage complex scheduling and competing priorities with minimal oversight
Exceptional writing ability, including drafting communication on behalf of a senior leader
Experience serving as a trusted gatekeeper and representative

Familiarity with Google Workspace, Slack, Zoom, and task or project management systems
Experience in a church, church planting network, or nonprofit ministry context preferred
