CEO and Sales Associate Location:

The role has the potential to evolve into broader Chief of Staff responsibilities over time Position Summary The Part-Time Executive Assistant and Sales Associate is a high-trust partner to the CEO, providing hands-on support to keep business development activities organized, timely, and moving forward. This person will manage CRM updates, prospect research, outreach follow-through, scheduling, calendar coordination, and related administrative and technical tasks that enable the CEO to stay focused on relationship building, client conversations, and closing work. Over time, this role is expected to grow in scope and may evolve into a broader Chief of Staff position. This role is ideal for a proactive, detail-oriented operator who enjoys supporting a high-performing CEO, creating order from complexity, and helping turn relationships into well-managed business opportunities. Key Responsibilities In all things, leverage AI to research, learn and build Executive Assistant Support, approximately 50% Primary Focus Month One Manage the CEO's calendar, including scheduling, rescheduling, confirmations, and meeting logistics. Help organize and eventually manage the CEO's inbox, ensuring messages are prioritized and addressed appropriately. Maintain and improve the task log, triage sheet, and CEO dashboard. Develop and implement an effective inbox triage and inbox-zero process. —- Support communication flow so meetings, follow-ups, and external interactions remain timely and well coordinated. Draft and send follow-up messages, confirmations, reminders, and other correspondence in the CEO's voice. Track action items from meetings and communications, and ensure timely follow-through. Use sound judgment to determine what to handle independently and what to elevate to the CEO. Maintain organized files, templates, notes, and records tied to sales activity, client communication, and CEO priorities. Sales Support and Revenue Operations, approximately 50% Primary Focus Month One Capture, record, and track all outstanding leads and prospects that the CEO is currently managing. Conduct CEO-focused outbound lead sourcing through LinkedIn, email, referrals, and research, with a primary focus on the CEO's network and high-potential prospects. Maintain accurate, current, and trustworthy records in HubSpot CRM, including contacts, activity notes, next steps, and pipeline stages. Book discovery calls and coordinate logistics for the CEO and other senior leaders as needed. — In coordination with the Chief Revenue Officer, document and improve standard operating procedures related to CRM use, outreach follow-through, scheduling, and proposal coordination. Research and segment lead lists across education, philanthropy, nonprofit, and related sectors using tools such as LinkedIn Sales Navigator, HubSpot, and Google Sheets. Track outreach, follow-ups, and open opportunities so that no communication or task falls through the cracks. Support inbound and outbound lead qualification based on mission alignment, timing, and opportunity scope. Support targeted outreach and early-stage lead nurturing to increase engagement with qualified prospects. Assist with client scoping, proposal formatting, pricing coordination, and preparation of client-facing materials. Prepare clear summaries, notes, and follow-up items after client and prospect meetings to maintain sales-cycle momentum. Build and enhance simple dashboards, trackers, templates, and workflows to improve business development efficiency and visibility. Provide flexible support on business development, marketing, and client engagement projects as needed. Preferred Qualifications and Profile Experience in executive assistant, sales support, business development coordination, revenue operations support, or similar roles. Extraordinary precision and attention to detail. Experience supporting a senior executive, founder, or CEO is strongly preferred. Experience using a CRM, ideally HubSpot, is preferred. Strong calendar management, written communication, organization, and follow-through skills. Comfort drafting external outreach and follow-up emails in a principal's voice. High level of discretion, professionalism, and judgment. Comfort with LinkedIn, Google Workspace, spreadsheets, and presentation or proposal formatting tools. Interest in education, nonprofit, philanthropy, or mission-driven work is preferred, though willingness to learn is welcome. Ability to work independently in a fast-moving, entrepreneurial environment and keep priorities moving with limited oversight. What Success Looks Like CEO achieves $300,000 in contracted sales in quarters 2, 3, and 4 of 2026, for approximately $800,000 to $900,000 total. The CEO's calendar, communications, and sales support activities are organized, responsive, and reliable. HubSpot data is current, accurate, and useful for decision-making and follow-through. Prospects receive timely, polished outreach and follow-up. Discovery calls and next steps are scheduled and coordinated efficiently. Proposal and scoping materials are prepared accurately and promptly. The role demonstrates sufficient ownership and judgment to assume broader coordination responsibilities over time. Compensation and Benefits Weekly base compensation. Performance-based bonus eligibility discussion after two months of employment.
