Job Overview We are seeking a dynamic and highly organized Executive Assistant to support our CEO in driving the company's strategic initiatives and daily operations. This pivotal role requires a proactive professional who excels in managing complex schedules, coordinating projects, and providing exceptional administrative support. Responsibilities Manage and maintain the CEO's calendar, scheduling meetings, appointments, and travel arrangements with precision using Google Calendar and Google Workspace. Serve as the first point of contact for internal and external communications, demonstrating professional phone etiquette across multi-line phone systems. Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with accuracy and clarity. Coordinate special projects and events, including planning logistics, booking venues, managing vendor relationships, and overseeing event execution. Handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records both digitally and physically. Provide personal assistant support by managing personal appointments, errands, and confidential information discreetly. Assist with bookkeeping tasks including invoicing, expense tracking, and basic financial record keeping. Support clerical functions such as photocopying, faxing, scanning documents, and maintaining an efficient filing system. Utilize office software tools like Microsoft Office Suite to produce high-quality documents and presentations efficiently. Ensure timely follow-up on action items from meetings or communications to keep projects on track. Social Media Management and Content Creation Requirements Proven experience as an executive assistant or in a similar administrative role supporting high-level executives. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent written and verbal communication skills coupled with professional phone etiquette. Proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace (Gmail, Docs), and data entry systems. Proficiency in Canva, Claude, and Airtable Experience with calendar management tools such as Microsoft Outlook Calendar or Google Calendar is essential. Knowledge of bookkeeping software like QuickBooks is preferred but not required; training can be provided for the right candidate. Demonstrated ability to handle confidential information with discretion and professionalism. Exceptional attention to detail with proofreading and transcription skills to ensure accuracy in all documentation. Ability to coordinate multiple projects simultaneously while maintaining a positive attitude under pressure. Office management experience including filing systems, front desk duties, customer service skills, and multi-line phone system operation is highly desirable.
