Job Description
(Remote-Hybrid) Part-Time Executive Assistant to the President (10-15 Hours per Week) We are seeking an experienced and proactive (Remote•Hybrid) Part-Time Executive Assistant to support the President. This role works approximately 10-15 hours per week and plays a key part in improving executive efficiency by managing priorities, coordinating across teams, ensuring smooth daily operations, and handling confidential information within a regulated insurance environment.
Duties and Responsibilities:
Manage the President's calendar and sensitive email database with full autonomy. Prioritize and coordinate meetings (internal leadership, brokers, carriers, clients, board members). Prepare daily briefings with meeting agendas, key metrics, and background notes. Draft and edit executive correspondence. Manage email inbox and screen communications. Arrange domestic and international travel. Prepare expense reports and track executive budget allocations. Coordinate internal announcements and leadership messaging. Maintain discretion with confidential financial, legal and personnel information. Manage virtual meeting platforms (Teams, Zoom, etc.) Troubleshoot basic tech issues to minimize executive downtime. Various administrative tasks for the president as needed.
Minimum Qualifications:
Associate or Bachelor's Degree in Business Administration, Communications, Finance or related field. (Preferred) 5-7 years of executive administrative support experience (Required) Experience in insurance, financial services (a plus) Experience with CRM systems (e.g., Salesforce or Applied Epic) (a plus) Advanced proficiency in Microsoft Office (Excel, Outlook, PowerPoint, Word) Experience in virtual meeting platforms (Teams, Zoom, etc.) Strong written and verbal communication. Ability to anticipate needs before they arise. Must demonstrate a strong commitment to data privacy, confidentiality, and discretion.
