Overview We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive support to senior executives and ensure the smooth operation of their daily activities. This role is vital in managing complex schedules, coordinating projects, and handling administrative tasks with precision and professionalism. The ideal candidate will thrive in a fast-paced environment, demonstrate exceptional organizational skills, and possess a proactive approach to problem-solving. Duties Manage and maintain detailed calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements efficiently. Provide executive administrative support including drafting correspondence, proofreading documents, transcribing audio files, and preparing reports with accuracy. Coordinate projects by tracking deadlines, organizing resources, and ensuring timely completion through effective communication with team members. Handle complex office management tasks such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records for easy retrieval. Oversee front desk responsibilities including greeting visitors, answering multi-line phone systems with professional phone etiquette, and managing incoming calls with courtesy. Organize events by planning logistics, coordinating vendors, managing invitations, and ensuring all details align with organizational standards. Utilize office software such as Microsoft Office Suite and Google Workspace to create presentations, spreadsheets, and documents that meet high-quality standards. Support personal needs of executives by managing confidential information discreetly and performing various clerical duties like proofreading and transcription as required. Qualifications Proven experience as an executive personal assistant or in a similar administrative role with a strong background in office management. Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Proficiency in Microsoft Office (Word, Excel PowerPoint), Google Workspace (Docs, Sheets), and familiarity with DocuSign for electronic signatures. Strong typing skills combined with experience in data entry, filing systems, and clerical support. Excellent communication skills with professional phone etiquette across multi-line phone systems. Knowledge of bookkeeping software such as QuickBooks along with basic bookkeeping principles. Demonstrated ability to coordinate projects efficiently while maintaining attention to detail through proofreading and transcription skills.
