This is a productivity multiplier position embedded at the center of a high-growth global enterprise. You will own the operational layer of the Office of the CEO — anticipating needs before they're voiced, removing friction before it surfaces, and actively deploying AI tools to automate and accelerate everything you touch. Behind every high-output executive is someone who makes the machine run. That's this role. What You'll Own Executive Support (50%) Own the operational rhythm of the Office of the CEO. Manage complex, multi-timezone calendars, coordinate meetings, handle correspondence, prepare agendas, and capture and distribute meeting notes. You are the first line of defense ensuring the CEO and President are always prepared, on time, and ahead of what's next. Calendar & Correspondence — Manage complex calendars for the CEO and President across multiple time zones; handle email triage and correspondence as directed Travel & Logistics — Own all travel end-to-end: flights, hotels, ground transportation, itineraries, and contingency planning. Manage personal errands and logistics that free up executive bandwidth for high-value work AI Tools & Workflow Automation — Actively use AI tools (Claude, ChatGPT, Zapier, Make, or similar) to automate repetitive tasks, streamline communications, and build productivity workflows. You don't need to be an engineer — but you need to be genuinely curious, hands-on, and comfortable deploying AI as part of your daily workflow Research & Briefing — Prepare research summaries and briefing materials ahead of meetings, calls, and events. Ensure the CEO and President walk into every room fully informed and ready to lead the conversation Project & Task Tracking — Own follow-through. Track open items, deadlines, and commitments across the executive team. Make sure nothing falls through the cracks — ever Discretion & Confidentiality — You will be exposed to sensitive business information across strategy, personnel, finance, and partner relationships. Absolute discretion is not a preference — it is a requirement HR Administration (50%) As RHONDOS grows rapidly — with multiple simultaneous domestic hires and an international acquisition underway — this role owns the coordination and logistics layer of our HR function. HR decisions are not made at this level; all questions and decisions route to the Manager HR & Finance. Your job is to keep the process moving. Scheduling candidates for interviews and managing all logistics associated with candidate travel — flights, hotels, and related expenses Coordinating new hire onboarding logistics once offer letters have been issued by the
Manager HR & Finance:
equipment requests, system access, and first-day scheduling Supporting EOR onboarding logistics for international hires — scheduling, document collection tracking, and status updates — under the direction of the Manager HR & Finance Tracking open headcount and hiring status; keeping the Manager HR & Finance informed at all times Routing benefits questions and change requests to the Manager HR & Finance; no independent action on benefits enrollment or modifications Helping maintain HR documentation, policy templates, and compliance tracking checklists as directed by the Manager HR & Finance What Success Looks Like The CEO and President operate with less friction and more focus No meeting is missed, no commitment is dropped, no travel detail is left to chance AI tools are actively reducing manual workload across the Office of the CEO You are trusted completely — with information, access, and judgment You are consistently proactive, not reactive How This Role Will Be Measured Executive Support Quality — Are the CEO and President well-supported? Is their time protected and logistics handled reliably? HR Coordination — Are hiring and onboarding processes moving efficiently? Are candidates and new hires receiving a professional, organized experience? Reliability and Follow-Through — Does this person close the loop? Are things tracked, followed up on, and completed without reminders? Judgment and Discretion — Given access to sensitive information across both functions, does this person handle it appropriately? What You Bring Required 2+ years supporting senior leadership in an executive assistant, operations, or administrative capacity Exceptional organizational skills and meticulous attention to detail Strong written and verbal communication — clear, concise, and professional Demonstrated comfort using AI tools (Claude, ChatGPT, automation platforms, or similar) as part of daily work Proven discretion and professionalism with sensitive, confidential information Local to the Washougal/Camas, WA area — role requires regular onsite presence 3-4 days per week Strong Preference Experience directly supporting a founder, CEO, or C-suite executive Hands-on experience building AI-powered productivity or automation workflows Familiarity with project management and task tracking platforms Nice to Have Background in a fast-moving technology or enterprise software environment Experience with automation tools such as Zapier, Make, or similar Experience managing both professional and personal executive logistics Your Cover Letter Must Answer After reviewing our LinkedIn, YouTube, and rhondos.com — what stands out to you about RHONDOS, and why do you want to support this team specifically?
