Role:
Pac1 Family Office is seeking a highly capable, detail-oriented, and proactive Personal Executive Assistant to support a busy executive across both personal and business priorities. This is not a traditional administrative role. The right candidate will bring strong project management skills, operational awareness, and the ability to independently manage complex, multi-phase initiatives. This position requires discretion, sound judgment, and the ability to keep high-level priorities organized and moving forward. Executive & Personal Support Manage calendars, appointments, and shifting priorities Coordinate detailed domestic and international travel, including comprehensive itineraries Prepare reports, presentations, correspondence, and executive-ready documents Serve as a trusted liaison between the executive and internal and external contacts Anticipate needs and proactively problem-solve Project & Operations Management (Primary Focus) Coordinate and track multi-phase personal and business projects from planning through execution Manage timelines, budgets, vendor communications, and documentation Interface with contractors, consultants, and service providers to ensure accountability and progress Maintain organized project dashboards, tracking systems, and decision logs Identify potential risks or delays and proactively recommend solutions Ensure all moving parts remain aligned and on schedule Systems & Technology Leverage AI tools (ChatGPT, Notion AI, Google Workspace, etc.) to improve research, communication, and productivity Build efficient systems and workflows using Google Workspace and Microsoft Office Maintain highly organized digital and physical filing systemsWhat We're Looking For:
3+ years of experience as an Executive or Personal Assistant Strong project management experience with the ability to manage complex timelines and budgets Experience coordinating vendors, contractors, or professional service providers (construction/remodel experience highly preferred) Experience supporting a high-level executive Familiarity with budgeting and cost tracking Project management certification (PMP or similar) is a plus but not required Exceptional organizational skills and attention to detail High level of discretion and professionalism Strong written and verbal communication skills Comfortable learning and utilizing AI and productivity tools Ability to operate independently and take ownership of outcomesWhat We Offer:
