Overview This is a
TEMPORARY
role - Hybrid - In office Tues, Weds, Thurs. From home Monday and Friday -Hours 8:30am to 5:30pm We are seeking a highly organized and proactive Temporary Executive Assistant to support the CEO. There will be a wide range of administrative and operational tasks. This role is essential in ensuring smooth office operations, effective project coordination, and professional communication across departments. The ideal candidate will possess strong office management skills, exceptional organizational abilities, and a keen attention to detail. This position offers an opportunity to contribute to a dynamic environment while honing your administrative expertise. Duties Provide comprehensive executive administrative support, including managing calendars, scheduling meetings, and coordinating appointments using tools such as Microsoft Outlook Calendar and Google Workspace. Assist with event planning for company meetings, conferences, and special events, ensuring all logistics are handled efficiently. Handle phone etiquette with professionalism across multi-line phone systems and serve as the first point of contact for visitors and callers. Perform data entry, filing, and document management tasks, including proofreading and transcription to maintain accurate records. Manage correspondence through email and document signing platforms like DocuSign, ensuring timely responses and follow-up. Facilitate project coordination by tracking deadlines, preparing reports, and assisting with administrative tasks related to ongoing initiatives. Maintain office organization standards by overseeing front desk operations, managing filing systems, and supporting clerical functions. Provide personal assistant support as needed, including travel arrangements and personal scheduling. Qualifications Minimum of 5 years of experience in executive administrative support or related office management roles. Proven experience in event planning, project coordination, bookkeeping, and office management. Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent typing speed along with transcription and proofreading capabilities. Exceptional phone etiquette skills across multi-line phone systems. Demonstrated ability to handle confidential information discreetly. Prior experience as a personal assistant or in customer service roles is advantageous. Knowledge of office technology such as multi-line phones, office equipment, and document signing platforms like DocuSign.
