Full Job Description Minimum Qualifications:
An Associate's Degree in Office Administration or a related field with bachelors degree preferred. Must have strong computer, organizational and interpersonal skills, and a familiarity with basic office procedures. Prefer individual who is a creative thinker with good time management and excellent communication skills. Must be able to multitask and occasionally work a flexible schedule.
Summary:
The senior program assistant performs basic and advanced administrative duties such as answering phones and emails, filing, managing schedules, and assisting with grant writing and event planning. Essential Duties and Responsibilities 1. Answers phones and responds to emails. 2. Schedules appointments and meetings for CEO. 3. Maintains CEO's office calendars and sends out reminders of impending appointments. 4. Copies and files documents. 5. Drafts, produces and proofread documents as requested. 6. Compiles and sends mailings. 7. Welcomes visitors. 8. Runs miscellaneous errands for staff. 9. Keeps office neat and organized. 10. Attends meetings as requested or required. 11. Assists in overseeing the budget for routine or special events. 12. Assists in planning and overseeing special events. 13. Creates flyers, newsletters, brochures, PowerPoints or other presentations for CEO. 15. Makes travel arrangements for off-site business meetings. 16. Reserves conference rooms and equipment for in-office meetings and presentations. 20. Acts as liaison for the CEO. Required Knowledge, Skills and Abilities 1. Demonstrates excellent interpersonal skills and exhibits friendly, professional demeanor. 2. Exhibits ability to multitask on a regular basis. 3. Pays close attention to detail. 4. Is proficient in the use of Microsoft programs such as Word, Excel, and Power Point. 5. Demonstrates familiarity with basic office equipment such as copiers. 6. Works well with a range of different individuals. 7. Possesses excellent phone etiquette. 8. Demonstrates knowledge of proper compositional practices to aid in writing and proofreading. 9. Is capable of multitasking efficiently on a regular basis. 10. Exhibits strong organizational skills
