Monday•Friday, 8:30 a.m.•5:00 p.m. Position Overview The Executive & Business Advocacy Assistant provides high-level administrative and operational support to the President & CEO, ensuring seamless day-to-day operations of the executive office. This role manages scheduling, meeting logistics, communications, board and committee support, and office operations, enabling the CEO and leadership team to focus on strategic priorities. The Executive & Business Advocacy Assistant also serves as a professional representative of the organization in interactions with staff, board members, and community stakeholders. Key Responsibilities Executive Support Manage and maintain the CEO's calendar, including scheduling meetings, coordinating appointments, and resolving conflicts. Serve as liaison between the CEO and staff, board members, and external partners. Coordinate and prepare materials for executive and board meetings, including agendas, collateral, and presentation deck support. Capture and distribute board meeting minutes and follow-up actions. Arrange logistics for CEO meetings and events, including catering and technology setup. Manage the CEO's contact database and maintain accurate records of key relationships. Coordinate travel arrangements, itineraries, and expense reports. Maintain confidential files and records with discretion. Anticipate the needs of the CEO and proactively manage priorities. Coordinate catering and lunch arrangements during meetings or when the CEO's schedule does not allow for breaks. Track deadlines, project milestones, and ensure timely follow-up on action items. Board & Stakeholder Support Assist in preparing polished board presentations and reports. Capture and distribute minutes for board and committee meetings, ensuring accuracy and follow-up. Support communications and scheduling between the CEO and board members. Office & Facilities Management Uphold a welcoming, professional, and polished executive office environment. Serve as the primary point of contact for building maintenance, HVAC, property manager communications, outages, and building repair liaison. Input and track work orders through Building Engines system. Coordinate directly with property management on facility issues. Business Advocacy Support Coordinate and support committees focused on government relations, including the Business Advocacy Committee, Regional Policy Committee, Champion Advocates, and
CMCC PAC.
Manage
CMCC PAC
activities, including endorsement process and budget tracking. Assist in convening grassroots support for legislation as directed by the Business Advocacy team. Prepare committee meeting minutes and ensure follow-up actions are tracked. Qualifications & Skills Proven experience (3+ years preferred) supporting a C-level executive, senior leader, or board of directors. Strong organizational and time-management skills with the ability to manage multiple priorities. Exceptional written and verbal communication skills with a high level of professionalism. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms (Zoom, Teams). Ability to learn and manage technology platforms such as CRM, BuildingEngines, and other business systems. High level of discretion and confidentiality in handling sensitive information. Professional presence, flexibility, and adaptability in a fast-paced environment. Strong problem-solving skills and ability to work both independently and collaboratively.
