OVERVIEW OF THE ROLE
This role is for an Executive Assistant who has several years of experience supporting senior leadership in a professional business environment. You will work closely with the two individuals running the company (C-suite), providing high-level administrative support including scheduling, communication management, meeting coordination, and project assistance. This is a dynamic position requiring the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
FUNCTIONS
Support two highest executives primarily, and provide additional support to executive team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently Provide critical administrative support to company executives, including calendar management, travel arrangements, and meeting coordination Draft, proofread, and manage professional correspondence and documents on behalf of the executives. Manage scheduling and logistical arrangements for internal and external meetings, including board meetings, committee meetings, and client events Maintain and refine internal processes that support highest-ranking executives companywide, and coordinate internal and external resources to expedite workflows Provide administrative and office support, such as typing, dictation, spreadsheet creation, adding signatures to documents, and working in company's various software and billing systems Organize team communications and plan events, both internal and off-site Assist with company's billing functions Handle confidential information with discretion and professionalism Handle personal tasks for the two executives as needed, such as reservations, following up with third parties, etc. Assist in the preparation and organization of reports, presentations, and other materials Serve as a key point of contact for internal and external stakeholders on behalf of the executives Help manage special projects, deadlines, and company-wide initiatives Organize and maintain digital and paper filing systems to ensure information is easily accessible Help maintain office supply inventory and liaise with vendors when needed Help with company culture initiatives and events, lunch ordering, and other needs Represent the Company in a professional manner in all interactions Support executive logistics, including travel management, expense tracking, and reimbursement
SKILLS REQUIRED
Excellent written and verbal communication skills Strong time-management skills and an ability to organize and coordinate multiple concurrent projects Proficiency with Microsoft Office suite, office productivity tools, and an aptitude for learning new software and systems Flexible team player, willing to adapt to changes and unafraid of challenges Ability to maintain confidentiality of information related to the company and its employees
EXPERIENCE AND EDUCATION
— 4+ years of administrative or executive assistant experience working directly with some of the highest level leadership at a company — Bachelor's degree or above required GENERAL — Standard business hours are anticipated, but some unscheduled evening and weekend work may be needed to meet high-priority or time-sensitive needs — Very occasional out-of-town and overnight business travel may be required (to Pierre and potentially Florida or Pennsylvania•max 1-2 times a year)
OFFERED COMPENSATION PACKAGE
Because we believe in transparency, the full compensation package for the role is listed below: — Base salary TBD (exact amount offered for role is negotiable and depends on prior experience) — Discretionary Annual Bonus (based on personal and Company performance•estimated $3k+) — Employer profit share 401(k) contribution to employee of 10% of base salary (no employee match required) — Cellphone Reimbursement of $150/month ($1,800 annually) — Annual Max HSA Contribution for Family or Individual•2025 amounts are $8,550 for Family or $4,300 for Individual (can be used to pay for health expenses and any unused amount employee keeps and can invest, use following year, etc.) — Fully employer-paid Individual or Family medical insurance (Blue Cross Blue Shield) — Fully employer-paid dental insurance for Individual or Family (Delta Dental) — 20 Days Paid Time Off (you can roll over up to 5 days annually) — 14-16 Paid Holidays — Company events, outings, and perks
