This role is critical to ensuring smooth day-to-day operations by managing communications, coordinating projects, tracking customer and vendor activity, and keeping priorities organized. The ideal candidate is an exceptional communicator who thrives in a fast-paced environment, can manage multiple responsibilities simultaneously, and takes ownership of tasks from start to finish. Success in this position requires strong organizational skills, effective time management, and the ability to maintain professionalism while interacting with customers, vendors, contractors, and team members. Key Responsibilities Communication & Customer Support Manage incoming calls, emails, and customer inquiries. Serve as a primary point of contact for routine customer communication. Follow up on quotes, proposals, and pending customer requests. Provide project and order status updates to customers. Coordinate meetings, appointments, and site visits. Maintain professional and responsive communication with customers, vendors, and contractors. Project Coordination Track project timelines, milestones, and deadlines. Coordinate communication between customers, vendors, contractors, and internal team members. Maintain project documentation and job files. Monitor open action items and ensure timely follow-up. Assist with scheduling equipment deliveries, installations, and service calls. Prepare project summaries and status reports. Sales & Vendor Support Request pricing, lead times, and product information from manufacturers and suppliers. Track open quotes and sales opportunities. Follow up on purchase orders and shipments. Assist with proposal preparation and bid submissions. Maintain accurate customer and vendor records. Administrative & Executive Support Manage calendars, schedules, and appointments. Prioritize and organize daily tasks and deadlines. Prepare meeting agendas, notes, and follow-up action items. Organize digital files, records, and correspondence. Assist with travel arrangements and event planning when needed. Support leadership with special projects and business initiatives. Mazi system training and support across multiple roles Service Department Support Schedule and coordinate service calls. Communicate appointment details with customers and technicians. Track service tickets and warranty claims. Follow up on open service requests to ensure timely resolution. Required Skills & Qualifications Communication Outstanding verbal and written communication skills. Professional phone and email etiquette. Ability to communicate effectively with customers, vendors, contractors, and team members. Strong customer service mindset. Organization Exceptional attention to detail. Ability to maintain accurate records and documentation. Strong project coordination and task-tracking abilities. Ability to manage multiple priorities without losing focus. Time Management Proven ability to prioritize competing demands. Self-motivated with strong follow-through. Ability to work independently and meet deadlines. Comfortable working in a fast-paced environment with changing priorities. Preferred Qualifications Experience in administrative support, executive assistance, project coordination, or office management. Experience in construction, restaurant equipment, foodservice, distribution, or related industries is a plus. Proficiency with Microsoft Office, Google Workspace, and CRM or project management software. Experience coordinating multiple projects simultaneously.
