Job Description

Job Overview We are seeking a dynamic and highly organized Chief Executive Assistant to provide exceptional administrative support to our executive leadership team. This pivotal role demands a proactive individual with a keen eye for detail, outstanding organizational skills, and the ability to manage multiple priorities with confidence. As the right hand to our executives, you will streamline daily operations, coordinate complex schedules, and ensure seamless communication across departments. Your energetic approach and dedication will help drive our organizational success and foster a productive, positive work environment. Duties Manage and maintain executive calendars using Microsoft Outlook Calendar. Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and preparing reports with accuracy and professionalism. Coordinate projects across various departments by tracking deadlines, organizing meetings, and ensuring timely completion of deliverables. Handle office management tasks such as filing, data entry, and overseeing front desk responsibilities to ensure smooth daily operations. Organize events and meetings from planning stages through execution, including venue arrangements, catering coordination, and technical setup. Maintain effective phone etiquette when managing multi-line phone systems and handling customer service inquiries with professionalism. Support personal assistant duties as needed, including managing confidential information, transcription of meetings or notes, and assisting with personal scheduling. Qualifications Proven experience in an executive administrative or personal assistant role with strong office management skills. Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar. Demonstrated experience with event planning, project coordination, data entry, filing systems, and clerical tasks. Strong typing skills along with transcription and proofreading abilities to produce clear and accurate documents. Knowledge of QuickBooks for bookkeeping purposes is highly desirable. Exceptional communication skills with professional phone etiquette across multi-line phone systems. Ability to handle confidential information discreetly while maintaining high levels of accuracy in all tasks. Experience in customer service environments or front desk operations is advantageous.
