Job Summary About the Role We are seeking an experienced and highly capable Executive Assistant to support the Office of the CEO at Flex , based on site at our Austin Corporate Headquarters. This role operates with a high level of ownership and visibility, providing both administrative and operational support to enable the CEO and leadership team to execute against key business priorities. As part of a small, high-performing team reporting to the Lead Executive Assistant to the CEO, this individual will help sustain the rhythm of the CEO's office, manage complex workflows, and contribute to critical initiatives that support company growth. This position offers a unique opportunity to act as a trusted partner and play an integral role in a fast-paced, global environment. Key Responsibilities Executive & Administrative Support Manage complex CEO calendaring, ensuring effective prioritization, conflict resolution, and alignment with key business milestones Coordinate internal and external meetings, including logistics, materials, and virtual setup Handle sensitive information with professionalism, discretion, and sound judgment Manage communications, inquiries, and call handling on behalf of the executive Operations, Projects & Strategic Support Support the execution of special projects, tracking milestones, deadlines, and deliverables Prepare materials, presentations, and reports; conduct research as needed Take meeting notes, track action items, and ensure follow-through Maintain awareness of business priorities and proactively align executive support accordingly Travel, Expense & Budget Management Coordinate domestic and international travel logistics, including documentation and itinerary planning Manage expense reporting processes, ensuring accuracy, timeliness, and compliance Support budget tracking, bill payments, and resource planning as needed Events & Collaboration Plan and support internal meetings and events, including leadership meetings, offsites, onboarding, and employee engagement activities Partner cross-functionally with HR, Communications, Facilities, and other teams to ensure seamless execution Collaborate closely with the broader Executive Assistant community on shared priorities and initiatives Stakeholder Engagement & Communication Serve as a key liaison and gatekeeper for internal and external stakeholders, including senior executives Build strong cross-functional relationships and maintain a clear "pulse of the business" Support communication initiatives in partnership with internal communications teams What we're looking to add to the team: 7-8+ years of executive administrative experience supporting C-suite or senior leaders in a fast-paced, global environment Exceptional organizational, prioritization, and time management skills Strong business judgment with a high level of discretion and professionalism Excellent written and verbal communication skills, with confidence engaging senior stakeholders Advanced proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Teams)
