This is a high-impact role requiring someone who can operate with professionalism, discretion, and strong judgment. The ideal candidate will provide direct support to the CEO while also assisting with financial operations, payroll, and reporting . Primary Responsibilities Executive Support Manage complex calendars, prioritize requests, and resolve scheduling conflicts to ensure efficient day-to-day operations Serve as the primary point of contact for leadership, handling confidential and time-sensitive matters with discretion Act as a gatekeeper for communication, facilitating smooth interaction between leadership, staff, and external partners Prepare, edit, and manage correspondence, reports, presentations, and meeting materials Anticipate needs, track priorities, and ensure timely follow-up on commitments and responsibilities Assist with special projects and strategic initiatives Communication & Coordination Coordinate meetings, develop agendas, and track action items Serve as a liaison across departments to support alignment and accountability Exercise sound judgment in determining priorities, responses, and escalation when needed Accounting & Finance Support (Assist Finance Director) Assist with payroll processing, ensuring accurate deductions, withholdings, and timely employee payments Support preparation of financial statements, including balance sheets, income statements, and cash flow reports Assist with month-end and year-end close, including reconciliations and journal entries Monitor budgets and financial performance, identifying trends or discrepancies Ensure compliance with accounting standards, policies, and regulations Assist with tax documentation and financial reporting as needed Maintain accurate financial records and proper documentation Collaborate with departments to ensure accurate and timely financial reporting Handle sensitive financial and employee information with strict confidentiality Administrative Support Manage documents, reporting, and recordkeeping with a high level of accuracy Maintain organized systems, files, and contact lists Assist with onboarding and internal administrative processes Coordinate with vendors and support purchasing needs Track tasks and follow through to ensure completion and accountability Qualifications Bachelor's degree in Accounting (required) Minimum of 2 years of accounting experience (required) Previous experience in a medical office required Executive assistant or high-level administrative support experience strongly preferred Experience with payroll, financial reporting, and close processes preferred Strong understanding of accounting principles Advanced proficiency in Microsoft Office, especially Excel Core Competencies Exceptional organization and attention to detail Strong decision-making and problem-solving skills Ability to manage multiple priorities with minimal supervision High level of professionalism and discretion Strong sense of urgency and adaptability Reliable, punctual, and consistent follow-through Compensation & Benefits Quarterly bonus opportunities based on attendance and punctuality Health insurance Paid Time Off (PTO) Stable, team-oriented work environment Important This role requires strong reliability, accountability, and the ability to stay organized in a busy environment.
