Job Description:
Overview We are seeking a highly experienced Executive Assistant to support a Plant Manager within a fast-paced manufacturing environment. This role is critical to ensuring the smooth execution of daily operations by managing priorities, coordinating leadership activities, and streamlining communication. The ideal candidate is proactive, detail-oriented, and skilled at supporting senior leadership with both administrative and operational needs. Responsibilities Manage and optimize the Plant Manager's calendar, including complex scheduling and prioritization Coordinate leadership meetings, including agendas, materials, and action item tracking Oversee logistics for site visits, plant tours, and executive meetings Organize travel, accommodations, and on-site arrangements (conference rooms, catering, etc.) Manage email communications, prioritizing and filtering for efficient decision-making Prepare presentations, reports, and professional correspondence Facilitate communication across cross-functional teams and external stakeholders Track deadlines, commitments, and follow-ups to ensure timely execution Support a digital-first work environment, including basic troubleshooting and tool optimization Maintain strict confidentiality when handling sensitive information Required Qualifications Minimum 10 years of executive administrative support experience Experience supporting senior leadership in manufacturing, operations, supply chain, or industrial settings Proven ability to manage complex calendars and coordinate across multiple stakeholders Strong experience in email management and executive communication prioritization Advanced proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint) Experience with virtual meeting platforms and digital collaboration tools Exceptional organizational skills and attention to detail Strong written and verbal communication abilities Ability to manage multiple priorities in a fast-paced environment High level of discretion and professionalism Preferred Qualifications Bachelor's degree in Business Administration, Communications, Industrial Operations, or related field Executive Assistant or Project Management certifications (CAPM, PMP) Advanced Microsoft Office certifications Experience supporting plant operations or manufacturing leadership environments
