The CEO's office oversees two businesses in different sectors: a healthcare clinic and a regulated specialty retail operation with multiple store locations. This role will help support the central office responsible for coordinating both business operations, keeping communication organized, following up on priorities, and helping ensure each business runs smoothly. This is not a traditional desk-only assistant role. We are looking for someone who is willing to help wherever needed, communicate with employees, follow up on tasks, organize operations, solve problems, and help keep the company moving forward. The company currently has approximately 14 employees, and this role will serve as a key liaison between the CEO and staff. The ideal candidate is professional, trustworthy, proactive, and not afraid to roll up their sleeves in a fast-paced small business environment. Reporting Structure This position reports directly to the CEO. The Executive Operations Assistant will communicate with employees, vendors, contractors, and business partners on behalf of the CEO and assist with the smooth execution of daily business operations. Key Responsibilities Executive & Administrative Support Manage and maintain the CEO's calendar, meetings, appointments, and travel arrangements Answer, screen, and respond to emails, calls, and correspondence on behalf of the CEO Prepare letters, reports, spreadsheets, forms, and internal business documents Track projects, deadlines, priorities, and follow-up items Organize company records, compliance files, executive documents, and operational materials Coordinate with vendors, contractors, consultants, and professional service providers Assist the CEO with daily planning, task management, and operational execution Maintain strict confidentiality regarding sensitive business, employee, and medical information Employee Coordination & Operations Support Serve as a liaison between the CEO and approximately 14 employees Communicate CEO instructions, priorities, and operational updates to staff Follow up with employees regarding assigned tasks and deadlines Assist with employee scheduling and staffing coordination Help coordinate onboarding paperwork and employee documentation Maintain employee administrative records and internal files Identify operational issues and report them directly to the CEO Help maintain accountability, organization, and efficiency across the business Assist with hands-on operational needs when necessary Clinic Administrative Support Assist with patient scheduling and clinic calendar coordination Coordinate with physicians, nurse practitioners, and clinic staff Maintain organized clinic administrative files and operational records Assist with insurance paperwork, referrals, and related documentation Track clinic supplies and coordinate ordering when needed Assist with licensing, credentialing, and regulatory paperwork Track invoices, expenses, and clinic operational documentation Support front office efficiency and administrative workflow Regulated Retail Operations Support Assist with administrative coordination for multiple retail store locations Maintain inventory logs, vendor invoices, product records, and internal tracking reports Coordinate vendor orders, deliveries, and operational supplies Maintain licensing documents, compliance records, product documentation, and store files Assist with product tracking, batch records, purchase records, and required documentation Prepare sales, inventory, and operational reports for executive review Coordinate communication between retail staff and executive leadership Assist with logistics, product coordination, order tracking, and administrative retail support Help ensure store teams follow internal procedures, documentation requirements, and operational standards Support organization of age-restricted product records, vendor paperwork, and required business documentation General Business Support Assist with bookkeeping support, expense tracking, and receipt organization Coordinate with accountants, attorneys, consultants, and vendors Assist with internal reporting systems and operational processes Support special projects, business development, and company expansion initiatives Help improve organization, documentation, and workflow across departments Take initiative to identify problems and help create practical solutions Required Qualifications Strong administrative and organizational skills Excellent written and verbal communication skills Ability to professionally communicate with employees, vendors, and leadership Ability to multitask and manage priorities across multiple business operations Proficiency with Microsoft Office, Excel, Google Workspace, and general computer systems High level of discretion, professionalism, and confidentiality Ability to work directly with executive leadership Reliable transportation and dependable attendance Willingness to assist with both administrative and hands-on operational tasks Preferred Qualifications Experience as an operations assistant, executive assistant, office manager, administrative coordinator, or business support role Healthcare clinic, medical office, or retail administrative experience Experience coordinating employees, schedules, or office operations Experience working in a regulated retail, healthcare, logistics, or compliance-focused environment Basic bookkeeping, invoice tracking, or expense management experience Experience supporting a growing small business Work Schedule This is a full-time position with typical hours of Monday through Friday, 9:00 AM to 5:00 PM. Occasional after-hours availability may be required for urgent operational matters.
