Job Description
Description We are looking for a proactive and detail-oriented Executive Assistant to join our team in Midland, Texas. In this Contract to permanent position, you will play a key role in supporting the HR department by managing administrative tasks, coordinating schedules, and assisting with recruitment efforts. This opportunity is ideal for someone who is highly organized, detail oriented, and eager to learn, as training on specific processes will be provided.
Responsibilities:
- Provide comprehensive administrative support to the HR department, including scheduling meetings and managing calendars.
- Assist with the recruitment process by coordinating interviews, posting job openings, and managing candidate communications.
- Organize and facilitate employee orientations, ensuring all necessary documentation is completed and filed appropriately.
- Perform data entry tasks with accuracy, including updating records and maintaining databases.
- Handle clerical duties such as scanning, filing, and maintaining organized records.
- Coordinate travel arrangements and book accommodations for executives and team members as needed.
- Communicate with internal teams and external clients, ensuring a positive and efficient experience.
- Support the planning and execution of executive meetings, including preparing agendas and taking minutes.
- Maintain familiarity with human resources software and tools to streamline administrative processes.
- Proactively identify opportunities to improve efficiency and organization within the department. Requirements
- Proven experience in administrative support or a related role.
- Strong organizational skills with the ability to manage multiple tasks and deadlines.
- Excellent communication skills, both written and verbal, with a detail-oriented approach.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Familiarity with scheduling and calendar management tools.
- Bilingual in English and Spanish is preferred but not required.
- A proactive attitude and willingness to learn new processes and tools.
