This vital role provides comprehensive administrative support to our land development executives, ensuring smooth project execution and efficient office operations. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, proactive problem-solving, and a passion for facilitating successful land development initiatives. Your energetic approach will help keep projects on track, meetings coordinated, and communication flowing seamlessly across teams and stakeholders. Duties Manage complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and site visits with precision. Coordinate project-related activities, including document preparation, data entry, and tracking project milestones using tools like Microsoft Office and DocuSign. Handle all administrative correspondence with professionalism and clarity via multi-line phone systems and email platforms while maintaining excellent phone etiquette. Assist with event planning for stakeholder meetings, community outreach events, or project launches to ensure successful execution from start to finish. Maintain meticulous filing systems—both digital and physical—organizing project files, permits, contracts, and other essential documents for quick retrieval. Support bookkeeping and financial recordkeeping using QuickBooks, including invoicing, expense tracking, and basic bookkeeping tasks related to land development projects. Provide executive administrative support by preparing reports, proofreading documents for accuracy, transcribing notes during meetings, and managing confidential information discreetly. Requirements Proven experience as an executive assistant or personal assistant within a land development or related industry with strong office management skills. Quickbooks experience Payroll experience Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry accuracy. Exceptional organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent communication skills—both verbal and written—with professional phone etiquette and customer service orientation. Experience with project coordination tools or software is highly desirable. Familiarity with clerical tasks such as filing, proofreading, transcription, and front desk responsibilities. Ability to handle multiple responsibilities simultaneously while maintaining attention to detail. Knowledge of office equipment including multi-line phone systems and office management tools like DocuSign is preferred.
