Job Summary We are seeking a dynamic and highly organized Bilingual Executive Assistant to provide exceptional administrative support to senior leadership. This energetic professional will serve as a key point of contact, managing complex calendars, coordinating projects, and ensuring smooth office operations. Fluency in both English and Spanish is essential to facilitate communication across diverse teams and external partners. Duties Manage and maintain executive calendars, scheduling meetings, appointments, and travel arrangements with precision using Microsoft Outlook Calendar and Google Workspace. Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, and preparing reports. Coordinate projects and events from inception to completion, ensuring deadlines are met and logistics are handled efficiently. Handle phone etiquette with professionalism on multi-line phone systems, screening calls and directing inquiries appropriately. Conduct data entry, filing, and record keeping using QuickBooks for bookkeeping tasks and Office management software for daily operations. Assist with personal tasks as needed, acting as a reliable personal assistant to senior leaders. Support office management activities such as front desk duties, managing office supplies, organizing files, and maintaining a welcoming environment. Perform transcription and proofreading of documents to ensure accuracy and clarity. Utilize office tools like Microsoft Office Suite, Google Workspace, and DocuSign for document signing and collaboration. Maintain confidentiality of sensitive information while providing excellent customer service to internal teams and external contacts. Qualifications Proven experience as an executive assistant or in an administrative role with at least two years of relevant experience. Bilingual fluency in English and Spanish is required; exceptional verbal and written communication skills in both languages. Strong organizational skills with the ability to multitask effectively in a fast-paced setting. Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), QuickBooks, and data entry tools. Excellent typing speed combined with attention to detail for proofreading and transcription tasks. Experience with project coordination, event planning, bookkeeping, office management, and front desk operations preferred. Knowledge of multi-line phone systems, calendar management software (Microsoft Outlook Calendar), and electronic signature platforms like DocuSign. Demonstrated professionalism with phone etiquette skills and the ability to handle confidential information discreetly.
