This role is ideal for someone who thrives in a fast-paced environment, handles sensitive information with sound judgment, and brings strong organization to executive operations. The role will partner closely with senior leaders to coordinate schedules, manage communications, monitor administrative workflows, and help maintain momentum across business initiatives.
Responsibilities:
Coordinate executive calendars by arranging meetings, appointments, travel, and priority follow-ups so leadership can stay focused on key business objectives. Develop meeting materials, capture discussion notes, and document next steps to ensure decisions and commitments are clearly communicated and completed. Maintain organized shared files, operational documents, and reference materials so teams can quickly access accurate information. Prepare emails, internal updates, and other written communications on behalf of leadership while preserving professionalism, clarity, and confidentiality. Track deadlines connected to projects, renewals, vendor activity, and required filings, and provide timely reminders to keep work moving forward. Log incoming vendor invoices, maintain a current accounts payable tracker, and highlight approaching due dates or missing documentation for leadership review. Oversee the integrity of lead records by monitoring follow-up activity, identifying stalled opportunities, and preparing recurring pipeline reports for management. Respond to incoming digital inquiries when appropriate, route requests to the right internal contact, escalate urgent matters, and monitor responsiveness across channels. Review website content and digital touchpoints for accuracy, coordinate updates with external partners when needed, and raise issues such as broken links or outdated information. Support cross-functional initiatives by organizing tasks, timelines, owners, and deliverables while identifying risks or delays early in the project lifecycle. Demonstrated experience supporting executives or senior leadership in an administrative or coordination-focused role. Strong ability to manage complex calendars, meeting logistics, and travel arrangements with close attention to detail. Proficiency with Google Workspace and comfort using digital tools to organize documents, communications, and reporting. Experience handling high-volume invoicing, vendor records, renewals, or related administrative tracking responsibilities. Ability to write clear, well-structured correspondence and maintain discretion when working with confidential business information. Strong organizational skills with the ability to manage multiple priorities, follow through on action items, and meet deadlines consistently. Comfort working with vendors, resolving documentation issues, and maintaining accurate status trackers for operational visibility. Experience with QuickBooks, Zoho CRM, Square or similar financial software is preferred.
