In this pivotal role, you will be the backbone of executive operations, ensuring seamless coordination across our multi-branch organization while safeguarding confidentiality at every level. You will manage complex calendars, orchestrate travel, facilitate high-impact meetings, and provide proactive support that drives accountability to our corporate annual plan and branch commitments. Key Responsibilities Calendar & Schedule Management:
Expertly manage and optimize the daily calendars of the CEO, COO, and CRO. This includes scheduling meetings, resolving conflicts, prioritizing commitments, and proactively blocking time for strategic work, travel, and personal focus. Travel Coordination :
Arrange comprehensive domestic and international travel itineraries, including flights, accommodations, ground transportation, and detailed agendas. Handle all related logistics, expense reporting, and last-minute adjustments with precision and cost-consciousness. Meeting Support & Documentation :
Prepare professional agendas, coordinate logistics (in-person, virtual, or hybrid), attend meetings as needed, capture accurate notes/action items, and distribute timely follow-up materials to ensure clear ownership and execution. Annual Corporate Planning & Accountability :
Support the executive team in developing, tracking, and maintaining the company's annual plan. Monitor branch commitments and corporate schedules, provide regular status updates, issue proactive reminders, and help drive accountability across all locations to meet strategic objectives. Communication & Gatekeeping :
Serve as the primary point of contact and professional gatekeeper for the executive team. Screen and prioritize calls, emails, and correspondence; draft polished communications, reports, and presentations; and manage confidential information with the highest level of discretion. Liaison & Relationship Management :
Act as a trusted liaison between the executive team, internal departments (including branches), board members, external partners, and stakeholders. Foster positive relationships that reflect the company's values of professionalism and excellence. Project & Operational Support :
Assist with special projects, cross-functional initiatives, expense tracking, document management, and ad-hoc administrative needs. Anticipate challenges, conduct research, prepare briefing materials, and ensure smooth operations so executives can focus on high-level strategy. Confidentiality & Professionalism:
Maintain absolute discretion with sensitive company information, personnel matters, and strategic decisions at all times. Represent the executive team and the organization with poise and integrity in every interaction. Qualifications & Requirements Experience :
5+ years of Executive Assistant experience providing direct support to C-level executives (CEO, COO, or equivalent) in a fast-paced, multi-location or scaled organization. Education :
Related field (or equivalent professional experience). Bachelor's degree in Business Administration, Communications, or other supportive degree is preferred. Technical Skills :
Advanced proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams), calendar and project management tools, and the ability to quickly learn new systems. Core Competencies :
