Job Description:
Position Summary:
We are seeking a highly capable Executive Leadership Assistant to support The Agency San Antonio's #1 Power Couple-Managing Partner Miguel Herrera and Managing Director Roxanne Fernandez-a nationally recognized luxury real estate team known for exceptional performance, discretion, and a meticulously curated brand. This role is designed for a professional with 2-3 years of experience who has demonstrated competence in real estate transaction coordination, executive support, and marketing coordination. The ideal candidate combines someone who can manage complex client files, anticipate executive needs, and execute brand-forward marketing with a refined eye. You will operate as a trusted right hand for the Agency San Antonio's leadership team, assisting with transaction management and brand execution while ensuring every client touchpoint and internal process reflects the team's elevated standards.
Core Responsibilities:
Transaction Management
  • Manage all aspects of the transaction lifecycle from executed contract through closing
  • Track and proactively manage all key dates, contingencies, and deliverables
  • Serve as liaison between clients, agents, title, lenders, inspectors, and vendors
  • Audit transaction files for completeness and compliance
  • Coordinate inspections, appraisals, walk-throughs, and closing logistics as requested by Herrera team
  • Prepare closing materials and client gifting aligned with Herrera team standards Executive & Client Support
  • Serve as a polished first point of contact
  • Prepare high-quality client-facing materials (presentations, CMAs, listing decks)
  • Manage calendars and scheduling
  • Anticipate agent needs and manage shifting priorities
  • Deliver white-glove client service Brand & Marketing Coordination
  • Coordinate photography, video, staging, and signage for Herrera team listings
  • Edit photo and video content with strong visual standards
  • Maintain media libraries and coordinate with Luxury Listings for SM content
  • Support email campaigns and digital marketing via Rechat platform
  • Assist with events and brand experiences as requested by the Herrera team Systems, Data & Reporting
  • Maintain CRM accuracy and updates as required
  • Maintain organized digital files and records
  • Attend TASA meetings as required by the Herrera Team (Mondays with Miguel, Power Hour, Manager Huddles, etc.)
  • Coordinate Herrera Team workflows with TASA Managers and VP of Operations
  • Provide Herrera Team data as needed by TASA leadership for reporting purposes Qualifications
  • 2-3 years transaction management experience
  • Proficiency in MLS, CRM, AI and marketing tools
  • Exceptional organization and communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Skyslope experience a plus
  • Active Texas Real Estate License preferred
  • B.A. in Business, Finance, Marketing, or related field preferred
  • Available weekends as needed
