None About the Role Pinnacle Oil & Gas Holdings is one of the Gulf Coast's fastest-growing operators of retail fuel and convenience locations, with a portfolio of over 100 sites across Texas and the Southeast. We are looking for a sharp, highly organized Executive Assistant / Lease Compliance Officer to serve as both a strategic right hand to senior leadership and the company's point of accountability for lease administration. This is a dual-function role built for someone who thrives in a fast-paced, high-ownership environment. Executive Assistant Responsibilities Manage executive calendars, travel arrangements, and correspondence for CEO and CFO Prepare agendas, meeting notes, presentation materials, and follow-up action items Screen and prioritize communications on behalf of leadership; act as a professional liaison to internal teams, vendors, and external partners Coordinate logistics for board meetings, investor calls, and site visits Handle sensitive and confidential information with the highest level of discretion Assist in tracking key company deadlines, deliverables, and strategic priorities Lease Compliance Responsibilities Maintain a comprehensive, up-to-date database of all lease agreements across the company's 100+ locations Track critical dates including lease expirations, rent escalation clauses, renewal options, and termination windows Review executed leases for compliance obligations and flag any deviations or upcoming requirements Coordinate with landlords, property managers, and legal counsel regarding lease modifications, estoppels, and SNDA agreements Ensure all locations remain in good standing with lease covenants, insurance requirements, and operating conditions Support due diligence processes for new site acquisitions, including lease abstract preparation Maintain organized filing systems for all lease-related documents in Google Drive and internal systems Qualifications 3+ years of experience as an executive assistant, paralegal, or lease/contract administrator Prior experience in commercial real estate, retail fuel, or multi-site operations strongly preferred Exceptional organizational skills with a proven ability to juggle competing priorities without missing deadlines High proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace Excellent written and verbal communication skills; professional presence in all interactions Ability to read and interpret commercial lease documents Discretion and confidentiality are non-negotiable in this role Available to start immediately
Pay:
$55,868.21 - $110,000.00 per year
