Executive Assistant At Lynk Engineers, you'll play a key role in supporting executive leadership while helping coordinate projects that shape healthcare facilities, educational campuses, commercial developments, and community-focused projects throughout the region. Role Description This is a full-time, on-site position based in Salt Lake City, Utah, for an experienced Executive Assistant who enjoys balancing executive support, project coordination, and operational responsibilities. As a key member of our team, you will work closely with executive leadership to manage schedules, coordinate meetings, support project administration, and help ensure the efficient execution of daily business operations. The successful candidate will serve as a trusted partner to leadership while collaborating with project managers, engineers, clients, and vendors to maintain organization, communication, and accountability across multiple projects and initiatives. This is an opportunity to take ownership of meaningful work, build relationships across the organization, and contribute to the success of a growing engineering firm. What You'll Work On Manage executive calendars, schedules, and project deadlines Screen, prioritize, and organize executive communications Coordinate team meetings, agendas, and meeting logistics Prepare project proposals and support project administration Track employee mileage, professional development hours, and project data Obtain contract documents and project information from clients Support project profitability reporting and data analysis Assist with monthly billing and expense reporting Perform document formatting, specification editing, and quality reviews Conduct preliminary reviews of product submittals and project documentation Welcome clients, vendors, and visitors Provide administrative and operational support across the organization Qualifications Bachelor's degree or equivalent professional experience Experience supporting executives, project teams, or business operations Experience managing multiple priorities and deadlines simultaneously Strong organizational, follow-up, and problem-solving skills Excellent written and verbal communication abilities Experience within the Architecture, Engineering, and Construction (AEC) industry preferred Required Skills Proficiency in Microsoft Office 365, including Outlook, Word, Excel, and Teams Strong administrative, organizational, and project coordination skills Ability to learn new software and systems quickly Data entry and record management experience Experience managing schedules, calendars, and meeting logistics Strong attention to detail and document formatting skills Experience with Microsoft Project, Smartsheet, or similar project management software preferred Ability to work independently while supporting multiple team members Deadline-driven with the ability to effectively manage competing priorities Why Lynk Engineers?
