We are seeking a highly organized and proactive Executive Assistant to support our CEO and serve as a trusted partner to leadership. As the Executive Assistant you will provides high-level executive support to the CEO, managing daily operations, communications, and scheduling to maximize efficiency and impact. This role proactively anticipates needs, coordinates complex travel and key meetings (including Board and investor engagements), and serves as a trusted partner to leadership. Responsibilities also include handling confidential matters, managing expenses, supporting office operations, and creating reports, presentations, and meeting materials—leveraging AI tools to enhance productivity and streamline processes. Location Salt Lake City, Utah Hybrid with the requirement of 3 days in office. Responsibilities Supports the CEO's agenda including understanding business operations, managing inbox, calendar, travel and expense reconciliation to maximize the executive's time and impact on the organization. - Manage domestic and international travel for the CEO, Board of Directors, and onboarding new employees to AmTrav travel platform.
Maintains sensitive matters with confidentiality and discretion, safeguarding decisions impacting the operations of the company. Screens incoming telephone calls; takes and delivers accurate messages and routes voicemail to the appropriate staff. Serves as an extension of your executive(s) and acts as a representative of our values to the rest of the company. Applies general knowledge of business developed through education or experience. Understands how individual work contributes to the success of the organization. Partners consistently and efficiently with other members of the leadership team daily and learns how the business is run; works with partners across the organization to accomplish team goals. Coordinates on and offsite meetings including quarterly Board of Director meetings, quarterly executive leadership meetings, annual shareholder meetings, quarterly earnings calls, investor conferences, and CEO networking platforms. Proactively schedules a high volume of critical meetings and calls with internal and external stakeholders. Performs routine office managerial tasks including maintaining records, coordinates with purchasing associate to order office supplies, oversees contracted cleaning company, plans and facilitates company onsite and offsite meetings, welcomes guests by greeting them, in person or on the telephone, answers and directs inquiries. Looks for and identifies operational gaps and suggests improvements for the CEO to better the company. Attends meetings and takes notes; prepares the initial draft of minutes and summaries using AI empowered tools. Creates PowerPoint presentations, spreadsheets, and special reports for meetings, presentations, and special projects using AI empowered tools as requested. Required Qualifications At least 7-10 years of Executive Assistant experience is required. Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a fast-paced environment. Extremely proficient with Microsoft Office Suite and Zoom. Exhibits strong interpersonal skills. Excellent written and verbal communication skills. Extensive knowledge of clerical procedures, office administration, and calendar management. Demonstrates high-adaptability and flexibility to meet the company's goals and objectives. Preferred Qualifications Bachelor's Degree or equivalent years of experience. Prior experience working with high-level executives.
