Job Description
Description We are looking for an experienced and highly organized Executive Assistant to provide comprehensive support to senior leadership. In this role, you will handle a variety of administrative and bookkeeping tasks, ensuring smooth operations and effective communication across teams. This position requires a proactive individual with excellent problem-solving skills and the ability to manage sensitive information with discretion.
Responsibilities:
- Manage executive schedules, including organizing meetings, coordinating appointments, and ensuring calendars are up-to-date.
- Arrange detailed travel plans, including booking accommodations, creating itineraries, and preparing expense reports.
- Prepare precise and well-crafted correspondence, presentations, and reports tailored to business needs.
- Act as a point of contact between executives, internal teams, and external partners, fostering effective communication.
- Handle sensitive and confidential information with a high degree of integrity and attention to detail.
- Perform bookkeeping tasks such as accounts payable, accounts receivable, and bank reconciliations using QuickBooks.
- Support the preparation of financial records and assist with maintaining accurate documentation.
- Collaborate on special projects and provide additional administrative support as required.
- Utilize Microsoft Office Suite tools, including Excel, to create and manage documents efficiently.
- Ensure all tasks are completed promptly while maintaining a high standard of accuracy. Requirements
- Minimum of three years of experience as an Executive Assistant or in a similar administrative role.
- Proficiency in bookkeeping tasks, including accounts payable, accounts receivable, and bank reconciliations.
- Advanced skills in QuickBooks and Microsoft Office Suite, particularly Excel.
- Strong organizational capabilities and the ability to manage multiple priorities effectively.
- Excellent written and verbal communication skills, with attention to detail.
- Demonstrated ability to handle confidential information with discretion.
- Bachelor's degree in a relevant field or equivalent experience with strong attention to detail preferred.
- Experience supporting senior leadership or C-suite executives is highly desirable.
