Contract with potential for long-term conversion About the Opportunity A mission-driven organization is seeking a highly polished and proactive Executive Operations & Administrative Partner to support a senior executive operating within a fast-paced, high-visibility environment. This is not a traditional task-based administrative role. The ideal candidate operates as a true strategic partner - someone who can anticipate needs, manage complexity, and keep an executive operating efficiently in an environment with constant movement and competing priorities. The Role The Executive Operations & Administrative Partner will provide high-level support to a senior leader with an exceptionally active schedule and evolving priorities. This role requires someone who can independently manage logistics, think proactively, solve problems before they escalate, and maintain strong operational flow without requiring close direction. The position blends executive support, operations coordination, scheduling strategy, travel management, and administrative execution within a collaborative but fast-moving environment. Key Responsibilities Executive Support & Operations Own and manage complex, high-volume calendar coordination across internal and external stakeholders. Prioritize meetings, scheduling requests, and shifting business demands strategically. Anticipate scheduling conflicts and proactively adjust logistics before issues arise. Serve as a trusted operational partner to the executive and broader team. Travel & Logistics Coordination Coordinate domestic travel arrangements and detailed itineraries. Optimize travel schedules while balancing timing, cost, and executive priorities. Manage related expense reporting and reimbursement processing. Administrative & Team Support Support day-to-day operational and administrative needs including meeting coordination, materials preparation, and document management. Assist with presentation formatting, printing, and general executive support tasks. Coordinate occasional in-office logistics and meeting support. Workflow & Priority Management Operate independently while maintaining alignment with executive priorities. Manage multiple moving pieces simultaneously in a deadline-driven environment. Identify opportunities to improve organization, communication flow, and efficiency. What They're Looking For Required 5+ years of Executive Assistant or senior administrative support experience supporting executive-level leadership. Experience managing heavy, high-volume scheduling and calendar coordination. Strong travel coordination and logistics management experience. Exceptional organizational skills and attention to detail. Ability to anticipate needs and operate proactively with minimal oversight. Strong Microsoft Office proficiency. Excellent communication and interpersonal skills. Ability to manage confidential information with discretion and professionalism. Preferred Experience supporting fast-paced executive teams or mission-driven organizations. Experience with expense reporting tools such as Concur. Bachelor's degree preferred.
