We are currently seeking an Office Manager/Chief of Staff to join our team supporting PMS 401 at the Washington Navy Yard. PMS 401 is a high visibility command requiring the utmost in professionalism. This position is on-site at the Washington Navy Yard for the first 90 days, then may transition to hybrid.
What youll do:
Acquire parking and visitor access at the Pentagon and other travel sites (include a map and GPS address)Arrange executive motor poolsSchedule VTCs, GVS, MS Teams and conference rooms to include arranging set up and comms check prior to meetingsArrange and reserve off site conference spaces and ensure all participants have proper accessesArrange meetings with both internal and external participantsLead a weekly schedule and travel sync, creating travel orders and travel claimsResolve DTS technical issuesMaintain personal files, prepare correspondence in accordance with Navy Correspondence ManualAssist PM and DPM to arrive timely to meetingsArrange for VIPs visitor badges, CAC codes and CAC resetsObtain Official passports for foreign visitorsProvide telephone coverage and accurate message takingReceive and assist guests Track accounts and accessesSeek ways to improve efficiency and effectiveness if the officeProactively deconflict meetings, seeking guidance as needed for clear prioritiesAssist with Program Reviews ensuring PAPMS and Leads conduct prep sessions with PM/DPMOther duties as assigned by the Office Manager/Chief of Staff, PM or DPMAttend meetings and provide client support onsite/in person when requiredTravel domestically and internationally, provide in-person support at MBC and client sites, and obtain and maintain professional certifications and security clearances as required by MBC and/or MBCs clients. Qualifications:
ACTIVE Secret Security Clearance required3-5 years progressive experience as an Executive Assistant, including experience authoring and editing Naval correspondence such as endorsements, memorandums, business letters, and award using the basic naval correspondence formattingBasic knowledge of NAVSEA operations and submarine Sound Navigation and Ranging (SONAR) hardware, software, and interfacesDemonstrated experience supporting NAVSEA and/or other Navy acquisition programsHigh School Diploma or GED required. Bachelors degree desiredAbility to professionally collaborate, interface and communicate with programmatic clients and leadershipForward leaning with the desire to complete tasking and anticipate what comes next and/or how to support in a most robust capacityAttention to detail and the ability to conduct quality assurance/quality control on their work as well as othersMust enjoy solving/tackling problems, dealing with surprises, and be flexible in their ability to adapt to ever-changing requirementsStrong knowledge of Microsoft Outlook, Word, PowerPoint, and Excel. Candidate may be asked to demonstrate skills prior to hiringExceptional communication skills required both written and verbalAbility to travel domestically and internationally using a credit card or prepaid debit card as required by MBC and/or clients
Compensation Policy:
Salary ranges displayed are typical for this position, but MBC considers multiple factors when extending an offer. Factors include the role and associated responsibilities, a candidate's qualifications, and the contractual terms of the program.
